The ITTF Foundation is a global not-for-profit organisation established in 2018, using the power of table tennis to drive sustainable social change and create positive impact in communities worldwide. We work closely with the International Table Tennis Federation (ITTF), the global governing body of table tennis, representing 227 Member Associations and more than 30 million competitive players.
About the Role
We are looking for a proactive, reliable and highly organised individual to support the ITTF Foundation’s day-to-day coordination and operations in this part-time role.
You will contribute across a broad range of activities, including Board and meeting coordination, reporting, HR administration, event and travel coordination, document management and operational follow-up. You will work closely with colleagues across the organisation, ensuring that actions, deadlines and processes are followed through effectively.
This is a varied and international role offering the opportunity to take responsibility for important organisational processes and contribute to the effective functioning of the ITTF Foundation.
Location:
This position is preferably based in our office in Leipzig, Germany, where you will work as part of an international and collaborative team.
The role offers remote work options, providing flexibility while maintaining regular collaboration with colleagues. Occasional travel, including international travel, may be required in connection with meetings and events.
Line Manager:
The Operations & Administration Coordinator will report to the ITTF Foundation Director and will work closely with the Operations Coordinator and other colleagues across the organisation.
Main Responsibilities:
• Board & Governance: Coordinate, prepare and follow up on Board meetings, including agendas, presentations, meeting materials, minutes and action points.
• Administration & Finance: Support financial and administrative tasks, prepare certificates, official letters and other formal documents, and provide general operational support as required.
• Director & Team Support: Provide administrative and organisational support to the ITTF Foundation Director and follow up on agreed tasks, actions and deadlines arising from internal planning and team processes.
• Reporting & HR: Coordinate and contribute to internal and external reporting, as well as general HR administration and related processes.
• Events & Logistics: Coordinate and provide organisational support for key ITTF Foundation events, including travel and visa arrangements, guest coordination, programmes and on-site support where required.
Selection Criteria:
• Relevant professional qualification, degree or equivalent practical experience in administration, operations, coordination or a similar role
• Strong organisational skills and a structured, detail-oriented approach
• Ability to manage multiple tasks and deadlines, prioritise effectively and follow through on agreed actions
• Strong communication and interpersonal skills, with the ability to work independently and collaboratively
• Proficiency in digital tools and platforms, including Microsoft Office
• Excellent written and spoken English, with a good working knowledge of German (mandatory requirement — applicants who do not meet this requirement will not be considered).
• Ability to handle confidential information with discretion and professionalism
• Flexibility to support occasional international events and travel
• Experience in an international organisation or non-profit environment is an advantage
• Interest in the mission of the ITTF Foundation and the role of sport in creating positive social change is an advantage
Summary
Working hours: Part-time, 20 hours per week
Contract length: 1 year fixed-term, with the option to extend
Start date: 15 November 2026
Salary: €14,400–€18,000 gross per year, depending on qualifications and experience. This range applies to candidates based in Germany and may be adjusted for those based in other countries.
Working location: Preferably office-based in Leipzig, Germany, with remote work options
