About this role
As the Executive Assistant to the CEO, you will serve as a trusted strategic partner responsible for keeping the CEO organized, informed, and operating at maximum effectiveness. This role requires extensive experience supporting senior executives in a fast-paced, high-demand environment. You will manage complex priorities, coordinate executive-level activities, handle highly confidential information, and act as an extension of the CEO in interactions with internal and external stakeholders.
Responsibilities:
• Manage a complex and constantly evolving calendar, ensuring the CEO's time is prioritized effectively and aligned with strategic business needs.
• Proactively anticipate the CEO's needs, identify potential conflicts or challenges, and implement solutions before issues arise.
• Coordinate business travel, including flights, lodging, transportation, itineraries, travel documentation, and last-minute adjustments.
• Serve as a trusted administrative partner, responding quickly and effectively to changing priorities, urgent requests, and executive needs.
• Build and maintain strong relationships with senior leaders, external partners, and key stakeholders while facilitating effective communication and follow-through.
• Exercise impeccable judgment and discretion when managing highly sensitive business, financial, organizational, and personnel information.
• Track and execute critical action items, ensuring seamless day-to-day executive operations and timely completion of priorities.
• Maintain professional communications on behalf of the CEO and represent the office with executive presence and professionalism.
• Support executive meetings, leadership events, and special projects as assigned.
• Remain available to support business needs, including occasional work outside traditional business hours.
Requirements
• 5+ years of experience supporting a C-suite executive or senior leadership team in a fast-paced corporate environment.
• Advanced proficiency in Microsoft Office Suite, including Outlook, Excel, and PowerPoint, as well as Google Workspace.
• Demonstrated ability to manage complex calendars, competing priorities, and confidential information with exceptional discretion.
• Experience communicating and collaborating with senior leaders, external partners, and key stakeholders.
• Proven ability to anticipate executive needs and operate independently with minimal direction.
Preferred Qualifications
• Experience supporting executive leadership within a multi-location, high-growth, or complex organization.
• Experience coordinating executive travel, leadership meetings, and special projects.
• Demonstrated success managing executive schedules across multiple stakeholders and time zones.
• Experience preparing executive-level presentations, reports, and meeting materials for senior leadership or Board audiences.
• Possess exceptional executive presence and professional judgment, with the ability to interact confidently with senior leaders, Board members, external partners, and key stakeholders.
• Highly organized with strong attention to detail, prioritization skills, and follow-through.
• Calm, resourceful, and capable of managing multiple priorities in a fast-paced environment.
• Flexible and adaptable, with the ability to pivot quickly as business needs change.
• An excellent communicator with strong written and verbal communication skills.
• Proactive and solutions-oriented, consistently anticipating needs and addressing challenges before they arise.
Education
• Bachelor's Degree or equivalent relevant experience.
Physical Requirements
• Prolonged periods of sitting and/or standing while working at a computer.
