Key Responsibilities

Operations and Data

• Maintain finished-goods UPCs (Universal Product Code) and create new items in response to requests from authorized stakeholders.

• Lead new-item setup in the IFS ERP system, coordinating across departments to protect data integrity and resolve quality issues.

• Maintain Marketing's digital assets, taxonomy, metadata, usage rights, and process library; support uploads, communicate updates, and ensure new hires have access to the resources they need.

Budget and Administration

• Support annual budget planning and monthly reforecasts; track and reconcile spending, report variances, and prepare clear updates for Marketing leadership.

• Manage invoicing, purchase orders, approvals, vendor payments, contracts, and supporting documentation in partnership with Brand Managers, project leads, and Accounts Payable.

• Maintain trademark records, budgets, and invoice reporting, and coordinate filings, renewals, and documentation with external counsel.

• Coordinate export business activities for the Marketing team.

Marketing Programs and Processes

• Manage the annual coupon program end to end, from planning and creation through production, distribution, processing, and reporting.

• Gather coupon requirements from Customer Service, Marketing, and Sales; coordinate offer codes, supplier production, and Canadian and U.S. distribution with internal teams and external partners.

• Represent Marketing in legal, organic, and SQF audits, connect the appropriate team members, and coordinate webinar communications and image updates.

Team and Executive Coordination

• Coordinate calendars, meetings, travel, logistics, department activities, and team events for Marketing leadership, Brand leads, and the broader Marketing team.

• Coordinate a welcoming and well-organized onboarding experience for new hires, including meetings, workspace and supply setup, seating plans, team introductions, and access to Marketing resources.

• Maintain distribution lists, the organizational chart, availability tracker, seating plan, and Marketing's internal site.

• Arrange flights, hotels, meals, entertainment, and vendor logistics for internal and industry events, including Expo West and the Customer Conference.

• Provide occasional support to the Chief Marketing Officer, including expense administration, travel arrangements, itinerary preparation, and calendar coordination.

Preferred Background

• Experience in marketing operations, business administration, project coordination, or a similar role supporting a fast-paced, cross-functional team.

• Experience coordinating budgets, invoices, purchase orders, vendors, and accurate data within an ERP or comparable business system is preferred.

• Experience in consumer-packaged goods or retail is desirable, particularly in a marketing, sales, or commercial environment.

Compensation and Work Arrangement

• The base salary range for this opportunity is $70,000–$80,000, plus a 10% bonus/benefits and three weeks paid vacation.

• This role is based out of our HQ in Richmond, BC; with employees working in the office Monday through Thursday and remotely on Fridays.
