Job Title: Day Group Sales Coordinator

Reports to: Day Group Manager
The Day Group Sales Coordinator provides administrative and operational support for the Day Group Sales team, serving as a key liaison between group clients and resort departments. This position coordinates the group sales process from account setup and booking through pre-arrival planning, day-of-visit support, and invoicing for groups utilizing Camelback Resort's activities and amenities, including skiing, snow tubing, Camelbeach, Mountain Adventures, Aquatopia, and more.
Key Responsibilities:
• Coordinate with group leaders regarding arrival times, meeting locations, and day-of-visit logistics; greet groups upon arrival and assist with the distribution of tickets, vouchers, and other materials.
• Prepare, organize, and distribute meal vouchers, activity tickets, admission passes, and other items associated with group purchases.
• Serve as a liaison between the Day Group Sales team, group clients, and resort departments to ensure accurate and timely communication.
• Coordinate and confirm group bookings, including itineraries, attendance details, payment information, activity selections, and other logistical requirements.
• Maintain accurate group sales records, contracts, account information, and event details within the CRM and other applicable systems.
• Assist with account setup and ensure group information is complete and accurate throughout the sales and event process.
• Support the maintenance and implementation of Day Group Sales Standard Operating Procedures (SOPs), including database and internal process management.
• Assist the Day Group Sales Manager and team with daily administrative responsibilities, including data entry, filing, reporting, correspondence, and document preparation.
• Prepare sales kits, proposals, contracts, event summaries, itineraries, and other group-related materials.
• Respond to client and internal department inquiries by phone and email in a timely, professional, and service-focused manner.
• Maintain calendars and assist with scheduling appointments, meetings, site tours, and other sales activities.
• Collaborate with Operations, Food & Beverage, Guest Services, Recreation, and other resort departments to coordinate group needs and support successful event execution.
• Track group account billing and assist with the reconciliation of deposits, payments, vouchers, and final balances.
• Review group details prior to arrival to ensure tickets, vouchers, meals, activities, and other contracted services are properly coordinated.
• Provide exceptional customer service to group clients throughout the process, from initial booking through their onsite experience.
• Identify and communicate potential issues or changes that may affect group reservations or the guest experience.
• Maintain confidentiality of client, financial, and business information.
• Perform other administrative and operational support duties as assigned.
Qualifications and Requirements:
• Must be at least 18 years of age.
• Strong organizational and time-management skills with the ability to manage multiple priorities and deadlines.
• Excellent verbal and written communication skills.
• Strong customer service and interpersonal skills.
• Ability to work effectively with clients, coworkers, managers, and multiple resort departments.
• Strong attention to detail and accuracy, particularly when working with group reservations, contracts, payments, and event details.
• Ability to problem-solve, adapt to changing priorities, and remain professional in a fast-paced environment.
• Basic computer skills and the ability to learn and utilize CRM, reservation, point-of-sale, and other resort systems.
• Previous experience in sales, hospitality, customer service, events, or an administrative role preferred.
• Must be available to work a flexible schedule, including weekends, holidays, and peak resort periods.
• Ability to work in a fast-paced resort environment and provide a high level of service to guests and group clients.
• Must be able to work in seasonal outdoor conditions and varied temperatures in the summer and winter.
