Job Title: Receptionist and General Admin
Reporting to: Shared Services Leader
Nature of the Position: Full Time
Role Overview:
The job holder will have a verity of administrative and clerical tasks. The job holder shall support all departments within the company.
Key Responsibilities:
• Responsible for exploring and developing the functionality in D365 and ensuring it is being used to maximum effect.
• Responsible for undertaking D365 system tasks relating to time calculation, purchasing, and operations.
• Responsible for providing support for HR and purchasing departments when necessary.
• Perform general administrative duties.
• Responsible for Adhere Hunting QMS & HSE system procedures, work instructions.
• Responsible for Adhering to the Quality & HSE Policy.
• Responsible for managing the employee records, attendance, accuracy of overtime, vacations, and performance appraisal.
• All personnel activities include recruitment, training and development of employees, employee relations administration and ensuring the proper communication and implementation of the company's policies and procedures in accordance with HESA.
• Responsible for ensuring that the proper contracts are prepared for employees.
• Responsible for arranging different types of visa applications (resident work visa, visit visa, family visa, etc.).
• In charge of the resident/work permit process (Schedule staff's visa, medical, coordinating with other internal and external departments.) and ensure all visas and permits are up to date and arrange timely renewal.
• Responsible to Arrange for different types of permits (work permit, Site Accesses/ Gate passes, etc....)
• Responsible for developing self within the role and participating in and developing from training and developmental activities assigned to oneself.
• Creating and maintaining good working relationships.
• Understanding and using the correct reporting lines.
• Responsible for the necessary reservations (hotel, flights, dinner, …etc.)
• Responsible for ensuring that the company's assets list is maintained.
• Accountable for the files of all employees' contracts are maintained.
• Authority to upload the Employee's file, records in SelfServe, Shared drive, hard files, and OnBase.
Additional Responsibilities,
• Promoting Hunting Health, Safety and Environmental policies, and communicating effective awareness of the risks and hazards to all personnel and maintaining controls necessary for their safety and that of others.
• Performing all duties in accordance with the Company's Quality Procedures and work Instructions to deliver and maintain the highest standards of quality for all products and services.
• Developing self within role and participate in and develop from training and developmental activities assigned to oneself.
• Understanding Hunting's service and product offerings
• Establishing self as a subject matter expert with customers and expert in designated technical/professional discipline
• Creating and maintaining good working relationships
• Understanding and using the correct reporting lines
• Employees are expected to work whatever reasonable hours are necessary to meet the requirements of their job.
• Travel may be required on an ad hoc basis, so a degree of flexibility is required.
• Ad hoc duties as reasonably required from time to time.
Qualifications/Skills and Experience:
• Fresh graduate with Diploma degree or higher in relevant subject
• High level skills of computer proficiency (work processing, spreadsheets and presentations)
• Priority and tasks management skills
• Proficiency in using standard office equipment such as computers, fax, photocopier, scanner, etc.
• Excellent communication (both written and oral) in (Arabic and English)
• Good understanding of Microsoft Office Programs.
