Schedule: Full-time, 40 hours, Academic year, approximately 35 weeks
Travel: Some (Student Medical Appointments as Chaperone)
POSITION SUMMARY:
The Administrative Assistant works under the direction of the Director of Health Services or designee to support the essential functions of the Health Center. This includes responsibilities for scheduling, correspondence, documentation, and student transportation.
ESSENTIAL FUNCTIONS:
• Answering, directing, and responding to Health Center telephone calls.
• Monitoring and responding to e-mail messages received in the general Health Center account.
• Greet and direct students and visitors upon arrival to the Health Center.
• Scheduling and coordinating of both on and off-campus medical appointments for the student population, to include completion of necessary paperwork and communication with families and campus personnel as required.
• Documentation of coordination of care in the Electronic Medical Record
• Entering medical excuses in the electronic attendance system and assisting with the monitoring of athletic excuses.
• Scanning of paper medical records into the Electronic Medical Record (EMR).
• Transporting students to emergency and non-emergency medical appointments when the Medical Chaperone is not scheduled or available.
• Delivering Health Center mail to and from the School post office daily and dispersing it to the appropriate team members.
• Provide administrative support for the Director of Health Services, Director of Counseling, Medical Director, and APRN.
• Completing the online registration process for Public Service License (PSL) physicals is completed in the Health Center for staff and faculty.
• Support nursing staff in maintaining readiness of Health Center spaces to support student care, including restocking of supplies.
• Other duties as assigned.
QUALIFICATIONS:
• High School Diploma, and/or a combination of education and work experience in a related field.
• Strong computer proficiency, experience with electronic medical record software and Google platform preferred.
• Current certification in CPR and AED from a recognized provider.
• Ability to maintain confidentiality following HIPAA privacy standards.
• Superior organizational skills and attention to detail.
• Knowledge and understanding of medical terminology.
• Excellent communication and interpersonal skills.
• Licensed driver, eligible for Connecticut Public Service License (PSL), or comparable out-of-state license to transport students.
• Strong ability to multi-task, working independently and collectively as an effective member of the health center staff.
PHYSICAL CONDITIONS:
• Occasional exposure to potentially infectious diseases and blood-borne pathogens.
• Must be able to remain stationary to perform computer-related tasks, as well as possess mobility to perform other essential responsibilities.
• Duties are generally performed in the School Health Center.
• Must be able to accurately and clearly exchange information, frequently communicating with school community members and health professionals.
