YOUR ROLE

As the Facilities and Office Support Leader, you will lead and coordinate the delivery of office operations and business support services. You will ensure facilities, lead management, licensing, employee onboarding and offboarding, events, and administrative functions are managed effectively. Through leadership, collaboration, and operational oversight, you will help the GSBD team achieve its objectives while maintaining a productive and well-supported work environment. You will report to the President, GSBD, with Office Coordinator(s) reporting to you.

WHAT TO EXPECT

Your onboarding journey at GroupStrength is designed to set you up for success:

• Your first 30 days will focus on learning our lead management process, building relationships with property managers, vendors, and trades, and getting familiar with our facilities, licensing, and administrative systems.

• Over the next 60 days, you'll take ownership of office supply and inventory management, support employee onboarding and offboarding processes, and begin managing licensing administration and reception operations.

• By 90 days, you'll be confidently leading event and travel coordination, formalizing our Health & Safety Committee, and providing leadership, coaching, and direction to your team.

YOUR IMPACT

• Ensure Sales leads are assigned accurately based on established criteria.

• Maintain CRM data accuracy through ongoing reviews and cleanup.

• Provide timely support for lead assignment questions and escalations.

• Establish and maintain relationships with property managers, vendors, and trades.

• Ensure building access, alarms, cameras, and facility issues are managed effectively.

• Maintain continuity by assigning backup facility contacts.

• Ensure office supplies, stationery, coffee, groceries, and branded merchandise are stocked and organized.

• Maintain clean and orderly storage and common areas.

• Ensure workstation equipment, supplies, systems access, parking records, and departure processes are completed accurately and on time.

• Coordinate with IT and other teams regarding onboarding and offboarding requirements.

• Keep licensing records current and accurate.

• Support licensing renewals, CE requirements, fee payments, new license requests, and terminations.

• Maintain the GSBD event calendar.

• Coordinate venues, vendors, travel arrangements, communications, and event logistics.

• Ensure phones, visitors, mail, courier services, reporting, and general administrative tasks are managed efficiently.

• Formalize the Health & Safety Committee and support office compliance activities.

• Provide leadership, coaching, delegation, and direction to the team.

• Ensure departmental responsibilities are completed and strategic goals are achieved.

THIS IS YOU

• Post-secondary education in Business Administration, Office Administration, or a related field.

• Experience in office administration, facilities coordination, event coordination, lead management, licensing administration, onboarding/offboarding, and customer service environments.

• Experience supporting multiple teams and stakeholders, with strong vendor and property manager coordination skills.

• Comfortable working with CRM platforms and office technology.

• Valid driver's license and access to a personal vehicle.

• A clear, respectful communicator who can navigate difficult conversations with tact and diplomacy.

• Highly organized, with the ability to plan, prioritize, and keep multiple moving pieces on track without letting details slip.

• Thrives in a fast-paced, ever-changing environment and isn't afraid to challenge the status quo.

• A natural team player who builds strong working relationships across departments.

• A proven leader who coaches, motivates, and creates space for others to grow.

YOUR COMPENSATION

At the time of this posting, the estimated annual base salary for this position is $60,000–$70,000. Individual compensation within this range will depend on factors such as job-related skills, relevant experience, and education/training. This reflects the base salary only and does not include our comprehensive total rewards package.
