The Cash Posting/Client Billing Inquires Manager plays a crucial role in ensuring the smooth operation of Cash Posting and Client Billing inquiry processes within Revenue Cycle. Under the leadership of the Director of Reimbursement, this position is responsible for managing the day-to-day operations for the Cash Posting and Client Billing Inquires team by providing training and support to ensure that all team members are equipped to manage their responsibilities effectively. The primary focus in managing these teams is ensuring consistent productivity and quality of work while serving as a Subject Matter Expert and problem solver for the teams managed.
POSITION SPECIFIC DUTIES & RESPONSIBILITIES:
• Manage, coach and evaluate Cash Posting and Client Billing Representatives, including performance reviews, productivity monitoring, and skill development. • Oversee daily workflow assignments ensuring tasks are completed within agency turnaround standards. • Ensure teams enter critical data in client charts in the EHR where applicable. • Ensure team members are processing and posting all payments within established guidelines. • Maintain and routinely audit various applicable reports, to ensure completeness and accuracy within targeted timelines. • Serve as a Subject-Matter Expert and escalation point for Cash Posting balancing issues and Client Billing inquiry issues. • Conduct regular audits of Cash Posting work to ensure data accuracy and integrity, compliance with standards, and Client Billing inquiry documentation completeness. • Collaborate with Revenue Cycle Leadership to assist in the development of documented workflows and processes. • Onboard and train new hires on Cash Posting and Client Billing duties and functions. • Coordinate departmental meetings and training sessions to support continuous improvement. • Monitor and proceed appropriately to the Cash Posting/Client Billing Team Productivity/Quality Assurance Metrics. • Manage multiple aspects of Cash Posting functions including research, reconciliation, balancing, and error-identification. • Develop and refine new and existing processes flows to create efficiencies within the department. • Evaluate existing system processes and tools required to drive automation and improved accuracy. • Support key agency and departmental redevelopment initiatives to drive Revenue Cycle successes. • Ensure client statements are pushed out timely and accurately in accord with departmental and agency standards and philosophies. • Develop and maintain scripting language for client billing interactions. • Report billing errors discovered through client statement reviews and client billing phone calls. • Must adopt a “working” Manager philosophy. • Other duties, tasks, projects, and responsibilities as assigned. ESSENTIAL FUNCTIONS • Know, understand, incorporate, and demonstrates the FCS Mission, Vision, and Values in behaviors, practices and decisions. • Work with Revenue Cycle leadership to ensure understanding of Payer contracts, application of contract terms and ensure alignment with processes and the bearing on Cash Posting functions and how these components could play into Client Billing Inquires. • At the direction of the Reimbursement Director, partner and assist Revenue Cycle leaders to formally assess the developmental needs of the department on a periodic basis and promote opportunities for development. • Assist in the development and maintenance of dashboards, reports, and KPIs to monitor revenue cycle health. • Ensure work assignments are performed and supported to achieve departmental goals and outcomes. • Promote a positive Client Experience model within team and its relation to client billing inquiries.
QUALIFICATIONS
EDUCATION:
• Associate degree in a related field required
EXPERIENCE:
• Five years or more experience in healthcare, preferably Behavioral Health, including two to three years of management experience. • Experience with billing through EHR (electronic health records). • Cash Posting/Application, Customer Service, AR Follow-up, Department of Mental Health billing model experience strongly preferred.
