Job Description The Maximo Scheduling Coordinator (MSC) provides operational oversight for facilities maintenance planning, scheduling, and vendor coordination within a corporate facility environment. This role is responsible for ensuring the reliability, safety, and performance of building systems through effective preventative maintenance programs, workforce planning, and service delivery management. The Maximo Scheduling Coordinator partners closely with the Sr. Maintenance Manager, Facility Managers, building tenants, and service providers to deliver operational excellence, maximize equipment uptime, maintain regulatory compliance, and ensure a high level of client and tenant satisfaction. The MSC operates with an independent daily routine, exercising operational discretion over preventative maintenance schedules and contractor prioritization. Job Responsibilities Planning, Scheduling, and Facility Operations: o Manage and oversee the facility’s preventative maintenance planning and scheduling program. o Ensure building systems achieve or exceed performance, reliability, and lifecycle expectations. o Conduct routine facility inspections and identify operational, safety, or maintenance concerns. o Coordinate maintenance activities, shutdowns, projects, and contractor work schedules. o Monitor completion of work orders and ensure efficient utilization of labor and resources. o Manage onsite contractor activities and ensure compliance with company and client standards. o Support emergency response efforts by remaining available to receive and return calls after regular hours for campus emergencies without a formal on-call program in place. Client and Tenant Relations: o Serve as a primary point of contact between facilities operations and client stakeholders. o Build strong relationships with building occupants and tenants through responsive service and effective communication. o Resolve facility-related issues and escalate concerns appropriately. o Manage client expectations through proactive communication, leadership, and problemsolving. o Partner with internal teams on tenant coordination and occupancy planning. Safety, Compliance, and Continuous Improvement: o Ensure compliance with all company, client, regulatory, and audit requirements. o Monitor facility operations to ensure adherence to service level agreements (SLAs) and key performance indicators (KPIs). o Support sustainability, energy management, and efficiency initiatives where applicable. Qualifications Education: Associate’s degree in Facilities Management, Engineering, Business Administration, or related field preferred; equivalent experience also considered. Experience: 2-4 years of facilities management, building operations, or related experience in a corporate environment, service provider organization, or consulting capacity. Experience using IBM Maximo or an equivalent CMMS platform as well as strong skills in office productivity software (Excel / Google Sheets, Word, Slack, Teams, etc.). Technical Knowledge: Strong knowledge of facility maintenance planning, scheduling, and preventative maintenance processes. Core Competencies: Excellent verbal, written, and interpersonal communication skills; strong analytical, organizational, and problem-solving abilities; strong customer service and stakeholder management skills. This role may have physical demands including, but not limited to, lifting, bending, pushing, pulling, and/or extended walking and standing. This role may also require uniforms and/or usage of Personal Protective Equipment (PPE).
