General Statement of Job

This position is responsible for performing a variety of administrative, clerical, and fiscal related duties supporting the ADR Director and the Family and County Court Civil Mediation programs. Responsibilities include but are not limited to: schedule family mediation sessions ; coordinate schedule for staff and contract mediators ; prepare orders of memorandums of agreements reached in mediation in order to submit to judge ; prepare orders for judicial signatures ; review scheduled mediation cases for domestic violence ; greet and check-in parties for in-person family mediation ; determine fees based on party income and collect payment for mediation sessions ; assists ADR Director and staff with special projects such as luncheons, trainings, workshops, meetings and/or other mediation-related events ; troubleshoots problems related to cases; collect data for statistical reports ; attends trainings, workshops, seminars and conferences related to family law and mediation services to enhance skills and ability in program areas ; extensive telephone communication ; receive, sort and distribute incoming and outgoing mail ; maintains oversight on office equipment and supply ordering ; and maintain various office/filing systems.

Knowledge, Skills, and Abilities

Knowledge of the Florida State Courts System, specifically family, small claims, and dependency courts is helpful. Knowledge of dispute resolution processes and associated legal terminology is helpful. Candidates must be proficient in Microsoft Office, specifically Word and Outlook. Ability to balance multiple tasks in a fast-paced environment and project a professional and friendly demeanor in all interactions and communications. Ability to communicate ideas clearly, concisely, and logically, both orally and in writing. Ability to develop and maintain effective working relationships with the Judiciary, court personnel, contract and volunteer mediators, attorneys, and the general public as needed to conduct day to day business and deliver services efficiently. Ability to work effectively (with courtesy, tact, and patience) with individuals who are under stress. Knowledge of and ability to perform basic mathematical operations and simple statistics. Ability to plan and prepare reports, correspondence, and charts in a variety of formats. Ability to handle sensitive matters with integrity and confidentiality. Ability to understand procedures, follow directions, utilize sound judgment, and take initiative. Ability to work with minimal supervision and recognize and establish work priorities. Organizational and multi-tasking proficiency is a must. Ability to organize and/or automate office procedures and maintain an effective filing system.

Education/Experience Guidelines

A High School Diploma or equivalent G.E.D. certificate is required. A minimum of two years of related progressive administrative work experience in a court, legal or professional office environment working with legal/court documents is highly recommended.

Desirable Qualifications

Highly motivated, organized individual who accepts challenges, works well under pressure, and requires minimal supervision after training. Direct working knowledge of the family mediation process and familiarity with the county civil mediation process. Experience with the Clerk of Court’s Public Records System and ICMS. Familiarity with mediation rules, regulations, court rules, policies and procedures, legal documents, and legal factors pertaining to mediation is preferred but can be learned on the job.
