About this role

Job summary

West London NHS Trust is recruiting a full-time Facilities Coordinator to support reception and building services at Carmelita House in Ealing Broadway, with additional responsibilities across our Ealing and Hounslow community sites.

You will be part of a community team helping to provide a clean, safe and welcoming environment for patients, staff and visitors. You will work closely with clinical teams, Estates and Maintenance services, our contracted cleaning partner OCS, and other contracted service providers to support the effective management and delivery of building services.

The role will involve coordinating and monitoring a range of facilities services, including cleaning, catering, security, gardening and general building services. You will help ensure services are delivered to a high standard and respond effectively to the needs of patients, staff and visitors.

We are looking for an enthusiastic, efficient and friendly person with excellent organisational and communication skills. You should be educated to a good standard or have equivalent experience in facilities services, together with a sound administrative background.

The role is based at Carmelita House in Ealing Broadway, but regular travel across Ealing and Hounslow community sites will be required

Main duties of the job

Be responsible for the day to day monitoring and auditing of contracted services for catering, pest control, waste management, linen, security, car parking, grounds and gardens and all associated Facilities services including those received on the Service Level Agreement from the designated provider.

Be responsible for the day-to-day monitoring of community services Hounslow and Ealing services provided by the in-house team or third party provider, identifying areas where service and efficiency can be improved.

Liaising on a day-to-day basis with Facilities Supervisors and Managers reporting service deficiencies as appropriate and ensuring that remedial action is taken as required

Respond to any complaints/concerns or queries in relation to the services provided and assisting in the investigation of incidents/ complaints of poor performance and where appropriate ensure that line management is fully aware of issues.

Responsible for the day to day management of the Security Supervisor within their own areas and cover for other teams as requested by the Facilities Manager.

Qualifications and Training Essential

Functional Skills Level 2 in Maths and English or Equivalent GCSE grade 9-4 or Grades A to C

Desirable

Driver's License.

Experience Desirable

Experience working within facilities services (domestic / catering / portering /transport or sustainability etc). NHS experience Work experience

Knowledge Essential

Ability to balance complex priorities in a demanding environment. Excellent communication skills (written and oral) whilst also possessing the ability to present effectively, thereby creating a positive impact on listeners. Ability to work collaboratively with other colleagues. Ability to plan and coordinate a broad range of tasks, and can work under own initiative/limited supervision and prioritise key tasks.

Desirable

Knowledge of contracted services. Experience in catering.

Personal Qualities Essential

Possess competent understanding of I.T. software packages. Possess a good level of analytical and judgment skills involving facts and figures Excellent communicator.
