Job summary
Working closely with the Managing Partner and Management Team, you will provide comprehensive administrative and organisational support across a wide range of business activities. Responsibilities will include diary management, meeting coordination, minute taking, action tracking, report preparation and supporting key projects.
We are looking for someone who is proactive, professional and able to work confidently with a range of stakeholders. You will have excellent communication skills, strong attention to detail and the ability to manage competing priorities in a busy environment.
This role would suit an experienced PA, Executive Assistant or senior administrator looking for a varied and rewarding position within a forward-thinking primary care organisation.
Main duties of the job
To provide high-quality administrative, organisational and secretarial support to the Managing Partner and wider Management Team. The postholder will coordinate meetings, manage correspondence, maintain action plans and support the efficient delivery of projects and business activities across the Practice.

Key Responsibilities
Managing Partner Support
Manage the Managing Partner's diary, appointments and meeting schedules. Prioritise and coordinate incoming correspondence, emails and communications. Act as a key point of contact for internal and external stakeholders. Arrange meetings, venues and associated documentation. Prepare agendas and supporting papers. Attend meetings and produce accurate minutes where required. Maintain action logs and monitor progress against agreed actions. Provide administrative support for Managing Partner-led initiatives and projects. Assist with drafting correspondence, reports and presentations.
Management Team Support
Organise Management Team meetings and events. Prepare and distribute agendas, reports and supporting documentation. Attend meetings and take minutes where required. Maintain and monitor action logs arising from meetings. Follow up outstanding actions on behalf of managers. Collate, maintain and distribute management information, reports and dashboards. Support planning sessions, and training and development events. Prepare presentations and format reports and business documents. Provide general administrative support to members of the Management Team.
Managing Partner Projects
Organise project meetings and engagement sessions. Coordinate project documentation and filing systems. Schedule workshops and stakeholder meetings. Maintain project action logs and monitor progress. Track and chase agreed actions. Provide administrative and organisational support for Managing Partner-led projects.
Person Specification
Experience Essential
Previous experience in an Executive Assistant, Personal Assistant, Secretary or Senior Administrative role. Excellent organisational and planning skills. Strong written and verbal communication skills. Experience of minute taking and action tracking. Ability to manage multiple priorities and deadlines. Advanced Microsoft Office/Microsoft 365 skills. High level of professionalism and confidentiality.
Desirable
Experience within a healthcare or NHS environment. Experience supporting senior managers or directors. Experience coordinating projects and meetings.
