Job summary
To work as part of the Oncology Team taking a lead role in providing secretarial support for the consultants, junior medical staff in the team with particular responsibility for audio typing (clinics tapes, discharge summaries) as Directorate Support Officer.
The post holder will be required to demonstrate a significant level of initiative in organising their workload and in making decisions and taking action in accordance with departmental policy.
Main duties of the job
To type all correspondence relating to out patients and in patients, including typing of departmental correspondence, with a low rate of errors and to meet Trust turnaround targets.
Regularly liaising with Directorate Support Officer to ensure departmental priorities are met.
Managing consultant's diaries, booking meetings and taking minutes where appropriate.
Arrange patients new and follow up appointments as required using PAS system and liaison with appropriate departments
Receive enquires from patients and staff, resolving enquiries of a more complex nature and dealing with as appropriate.
Liaise professionally with all departments regarding admissions, waiting lists, ad hoc ward attenders and cancellations ensuring hospital policies are adhered to.
To provide cross cover for secretarial team during annual leave and sickness
Co-operate with the introduction of new procedures, policies or technology, including any technology associated with the Carflow (Patient Administration System (PAS), assisting team leads with implementation
To set up and maintain filing systems ensuring all documents are accurately and are appropriately archived and nature of the post.
To participate in team, professional and personal development activities and promote commitment to continuous development and improvement.
To ensure that all staff consciously review mistakes, complaints and incidents/near misses as well as successes to improve performance and the level of customer care

Person Specification
Qualifications Essential
RSA/OCR III or equivalent speed and accuracy. RSAOCR Audio Typing GCSE English Language or equivalent standard Educated to GCSE or equivalent standard
Desirable
AMSPAR qualification or equivalent experience Recognised secretary qualifications/demonstrable and/or equivalent. Demonstrable experience of hospital software e.g. careflow, dragon, CWP.
Medical Terminology Essential
Medical terminology experience
Desirable
Oncology & Clinical Haematology medical terminology
Experience of Microsoft Software Packages Essential
Previous demonstrable experience in the use of Microsoft software packages i.e. word/excel/outlook.
Aptitude and abilities Essential
Ability to accurately touch type. Excellent communication and interpersonal skills
