Office Manager Position Summary The Office Manager is responsible for creating and maintaining a highly organized, professional, and world-class office environment that supports employees, customers, and business operations. This role oversees office administration, workspace planning, facility standards, employee onboarding logistics, communications, and workplace services to ensure a safe, efficient, and welcoming manufacturing office environment. The Office Manager serves as the primary coordinator for office operations, ensuring facilities remain pristine, regulatory requirements are maintained, and employees have the resources needed to perform at their best.
Workplace & Facility Management
• Maintain office spaces, conference rooms, common areas, kitchens, restrooms, and reception areas to world-class standards.
• Conduct regular workplace inspections and coordinate corrective actions.
• Coordinate janitorial, maintenance, and external service providers.
• Drive continuous improvement initiatives focused on workplace appearance and employee experience.
Space Planning & Office Coordination
• Manage employee seating assignments and workspace allocation.
• Coordinate office moves, departmental relocations, and workspace reconfigurations.
• Plan and execute workspace setup requirements for new hires, transfers, and organizational changes.
New Hire & Employee Support
• Coordinate workstation setup, office access, furniture, supplies, and onboarding requirements.
• Partner with HR and IT to ensure workplace readiness.
Parking & Site Services
• Manage employee and visitor parking assignments and records.
Office Communications
• Develop and distribute office-wide announcements and communications.
Office Supplies & Inventory
• Manage stationery, office supplies, and workplace consumables.
• Maintain inventory and vendor relationships.
Email Communications
• Monitor and manage the company's general email inbox, responding to inquiries as appropriate and directing correspondence to the relevant staff members in a timely manner.
Special Events Coordination
• Coordinate catering, lunch arrangements, and food services for company meetings, events, and special functions, ensuring all logistical requirements are met
Regulatory Compliance
• Ensure restrooms and common areas meet health, safety, accessibility, and regulatory requirements.
Visitor Experience
• Ensure facilities project a professional image for customers, suppliers, and visitors.
Qualifications
• 3+ years of experience in office administration, facilities coordination, workplace services, or office management. Manufacturing experience preferred.
