Energy Department Administrative Assistant Job Description Reports To: Department Manager Job Title: Energy Department Administrative Assistant Job Class: Full Time Pay Range: $17 - $19 per hour Job Objectives: Service the needs of Grainco FS patrons promptly and courteously. Assist management in projecting a positive company image that is conducive to building and retaining profitable business. Performing assigned accounting and record keeping duties. Duties and Responsibilities: Answer telephone calls and direct them to the appropriate administrative or staff person. Answer Patron questions related to their monthly statement and assist co-workers in answering customer questions. Record payments received promptly and accurately. Prepare daily deposits and balance cash drawer. Run credit card reports. Prepare and make bank deposits. Accounts Receivable (Calling on bad debt). Process and distribute mail each day. Establish and organize office operations and procedures. Attend meetings and training sessions as requested. Maintain a neat personal appearance as well as a clean, uncluttered work area. Comply with and support policies and procedures established by the company. Perform other appropriate duties as assigned. Communicate with main office and ensure information and reports are done on time. Follow up on customer complaints and seek a reasonable "win/win" resolution. Receive in and transfer Energy inventory. Order office supplies. Invoice all Energy products sold. Operate the computer accounting and dispatch software system Skills: Excellent interpersonal skills Team building skills Analytical and problem solving skills Ability to multi-task Attention to detail and high level of accuracy Effective organizational skills Effective written communication skills Highly proficient computer skills Time management skills Requirements: Must have a working knowledge and be able to explain in detail the customer billing statement Must have a working knowledge or be able to acquire a working knowledge of the following software programs: Microsoft Excel, Word, Outlook, and internal accounting and dispatch software.
