Overview

Functions like Dealing Service, Registrations, Settlements and Reconciliations. The incumbent needs to understand the laws of the region supported and perform day to day work in accordance with procedure set for an activity. The role needs to work in rotational shift and there would be shifts starting at 2:00 AM.

Key Accountabilities and main responsibilities

Strategic Focus

• Accurately process, review, record, and complete a range of administrative and operational activities in a timely manner, including but not limited to trade execution, client account opening, maintenance and amendment of client information, settlements, and reconciliations. • Ensure all internal service standards, external SLAs, and regulatory deadlines are consistently met within the Operations team. • Adhere to all fund specific procedures to ensure accurate trade processing. Regularly review and update procedures to reflect changes arising from internal policies, regulatory requirements, or business updates. • Respond to internal and external enquiries promptly, proactively resolving issues and delivering high standards of customer service. • Maintain and update relevant systems and databases, including participation in pre and post implementation testing of system enhancements where required. • Prepare and respond to correspondence in line with defined processes and deadlines. • Support the preparation of correspondence, presentations, and management reporting in line with business requirements. • Ensure full understanding of, and compliance with, all legislative, regulatory, industry, financial, and client specific requirements. Escalate any instances of non compliance in line with the escalation matrix. • Identify and recommend opportunities for process improvements that enhance efficiency, reduce risk, and improve customer experience. • Maintain a strong focus on service quality, ensuring accuracy, minimising rework, and achieving individual performance targets.

Operational Management

• Deliver efficient and accurate end to end processing of operational activities in line with defined SLAs, controls, and quality standards. • Ensure all internal and external service levels and regulatory timeframes are consistently achieved. • Handle day to day process related queries and provide timely resolutions or escalations where required. • Identify, investigate, and escalate any adverse counterparty related information, including reputational risks, inappropriate practices, or behavioural concerns, in line with the escalation matrix. • Take accurate and timely minutes of meetings as required. • Complete all mandatory training within agreed timelines and actively participate in training relating to procedural updates, company policy, values, cross skilling, and system/tool enhancements.

People Leadership

• Act as a point of guidance and support for junior team members, assisting with queries and day to day activities while reinforcing adherence to documented processes and quality standards. • Perform independent “four eye” checks to support accuracy, effective controls, and risk mitigation. • Support the Manager / Team Leader with day to day operational activities. • Stand in for the Manager / Team Leader during planned or unplanned absences, as required. • Produce management information (MI) and reports to support operational oversight. • Participate in ad hoc projects and initiatives as assigned. • Work collaboratively with team members and stakeholders across the business to achieve shared objectives.

Governance & Risk

• Maintain a consistently high level of accuracy across all assigned activities. • Complete all tasks in line with agreed SLAs and control requirements. • Support query management, quality reviews, and error analysis by identifying root causes and contributing to corrective and preventive actions to close gaps and minimise future risk.

Experience & Personal Attributes

Essential

• Bachelor’s or Master’s degree in Business, Finance, Banking, or a related discipline from a recognised university or institution. • Sound knowledge of the fund administration environment, including relevant regulatory and compliance frameworks. • Demonstrated understanding of the fund industry, with a preference for experience in Transfer Agency operations and exposure to financial markets. • Strong working knowledge of Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint. • Excellent verbal and written communication skills. • Proven ability to work to strict deadlines while maintaining a high level of accuracy and attention to detail. • Ability to operate independently, take ownership of responsibilities, and demonstrate initiative. • Basic understanding of industry practices and their commercial impact. • Willingness and flexibility to work APAC shifts, including early morning shifts commencing from 02:00 AM IST.

Desirable

• Previous experience within the fund industry, preferably with 3–5 years of relevant experience. • Strong customer focus, with the ability to collaborate effectively with stakeholders to achieve desired outcomes. • Demonstrated prioritisation and time management skills, with the flexibility to work autonomously in a dynamic environment. • Team oriented mindset, showing a willingness to support peers and take on additional responsibilities when required. • Proactive approach to self development, including seeking feedback and continuous professional improvement. • Ability to work under pressure, adhere to defined processes, and meet tight deadlines. • Strong sense of ownership and accountability for role responsibilities and contribution to the wider team’s success.
