About this role
The Administrator will report directly to the Production Support Manager and will be based at our Letterkenny facility. The role will provide a broad range of administrative and front-of-house support across the facility, while also working closely with the Production and Project Support teams. The successful candidate will be required to manage a varied workload, supporting the smooth day-to-day running of the facility and providing administrative support to live projects and production activities.
Responsibilities
• Providing front-of-house and general administrative support across the facility, including greeting and welcoming visitors, dealing with general enquiries and acting as a professional first point of contact for the site. • Providing administration support to the Project Support and Production teams, including maintaining records, preparing reports, monitoring live project schedules and supporting the timely completion of orders. • Supporting the preparation and maintenance of project documentation, records, reports and other relevant information, ensuring information is accurate, up to date and readily available. • Assisting with the coordination of meetings, site visits and other activities as required, including preparing relevant documentation and ensuring appropriate follow-up. • Providing general administrative support to the Production Support Manager and wider management team as required. • Liaising with internal departments, suppliers, customers and visitors as required, ensuring a professional and helpful approach at all times. • Maintaining appropriate document control processes and ensuring records are filed and retained in line with company requirements. • Providing cover across other administrative roles within the facility when required, including during periods of staff absence, annual leave, sickness or training. • Assisting with the induction and coaching of new members of the team and supporting the implementation of administrative processes and procedures.
Requirements
• Proven experience in a similar administrative role, with a minimum of 3–5 years’ experience in a comparable position. • Excellent interpersonal, communication and organisational skills, with the ability to deal confidently and professionally with people at all levels and manage competing priorities. • Strong practical knowledge of Microsoft Office, with a high level of accuracy and attention to detail. • A proactive and flexible approach, with the ability to adapt to changing requirements and work effectively in a busy, fast-paced manufacturing environment. • Previous experience in a manufacturing or engineering environment would be advantageous, as would experience of front-of-house, reception or customer-facing administration. • Previous experience of Oracle would be desirable but is not essential. • A positive attitude, high level of personal motivation and willingness to learn, develop and take on new responsibilities.
