As Compliance Administrative Assistant

You will provide administrative support to the Legal & Compliance department in all activities related to interactions with Healthcare Professionals (HCPs), including contracts, transparency reporting, and other compliance-related requirements.

Your main responsibilities will be:

Contract management

• Prepare, track, and archive contracts, including consultant agreements, Non-Disclosure Agreements (NDAs), sponsorships, hospitality agreements, grants, and other related documents.

• Review supporting documentation for completeness and accuracy prior to approval.

• Follow up on contract execution and signature processes.

Transparency and compliance

• Prepare and submit regulatory disclosures and filings (CNOM, EPS, MDEON, Transparency reporting, etc.).

• Collect and maintain information required to meet transparency reporting obligations.

• Monitor and track compliance-related files to ensure completeness and timely processing.

Systems Management

• Enter, update, and maintain contract and Third-Party information within the Contract Lifecycle Management (CLM) system.

Administrative Support

• Manage the Legal & Compliance and Grants shared mailboxes.

• Organize meetings, take meeting notes, and draft meeting minutes.

• Provide general administrative support to the Compliance team.

Your profile:

• 2 to 5 years of experience in an administrative support role, preferably within the medical device, pharmaceutical, healthcare, or other regulated industries.

• Advanced proficiency in Microsoft Office applications;

• Experience with a Contract Lifecycle Management (CLM) system is highly desirable.

• Fluent in French and English, with excellent written and verbal communication skills.

• Proficiency in one or more additional European languages is a plus.

• Excellent organizational and follow-up skills.

• Strong attention to detail and commitment to accuracy.

• Proactive mindset and ability to adapt to changing priorities.

• Reliable and able to manage responsibilities effectively.

• Professional discretion and strong respect for confidentiality.

• Ability to work independently as well as collaboratively within a team.
