Role Purpose
This is a broad, high-trust assistant role supporting the General Counsel, Chief Operations and Risk Officer across legal, operations, risk, governance and board-related activity. The role is not a traditional diary-only assistant position. It requires someone who can bring structure, pace and follow-through to a complex senior executive office, taking ownership of administrative, coordination and operational activity so that priorities move forward efficiently and professionally.
The successful candidate will provide proactive PA, executive support and board assistant support, while also managing a wide range of administrative processes including diary management, meeting coordination, invoicing, purchase orders, document administration, workflow and task management, action tracking and general team operations. The role will suit someone highly organised, discreet, commercially aware and comfortable working across senior stakeholders, board materials, confidential information and fast-moving priorities.
Key Responsibilities
Executive Support & Diary Management Provide proactive day-to-day support to the General Counsel, Chief Operations and Risk Officer, including complex diary management, meeting scheduling, preparation of agendas, coordination of papers, travel arrangements, expense support and prioritisation of competing commitments.
Administrative Operations & Process Management Own and coordinate core administrative processes for the legal, operations and risk functions, including maintaining trackers, managing shared mailboxes and distribution lists, organising files and records, updating templates, following up on actions and ensuring routine administration is completed accurately and on time.
Finance Administration, Invoicing & Purchase Orders Support financial administration for the relevant functions, including processing invoices, raising and tracking purchase orders, liaising with Finance and vendors, monitoring approvals, following up on outstanding items and maintaining clear records of spend, renewals, subscriptions and supplier activity.
Meetings, Actions & Stakeholder Coordination Coordinate internal and external meetings, prepare agendas and pre-read materials, take notes where required, track actions and decisions, and follow up with stakeholders to ensure responsibilities, deadlines and next steps are clear and progressed.
Board, Committee & Governance Support Provide board and committee administrative support, working closely with the Company Secretary to assist with board and committee calendars, board pack preparation and circulation, version control, meeting logistics, approvals and signatures, governance trackers and the orderly handling of confidential board-related materials.
Systems, Workflows & Team Administration Support effective use of key systems and tools, including managing and triaging workflow requests, updating task boards, maintaining document repositories, supporting process administration and helping the functions operate with clear, reliable information and administrative discipline.
Confidential Documents & Communication Support Support the preparation, formatting, review and circulation of confidential documents, correspondence, reports, presentations and internal communications, ensuring materials are accurate, well presented, appropriately filed and handled with discretion.
About You
You will bring strong experience in a PA, executive assistant, team coordinator, board support or senior administrative role, ideally supporting a senior leader or leadership team in a complex, fast-paced environment. You will be highly organised, discreet and proactive, with the confidence to manage competing priorities, work with senior stakeholders and take ownership of administrative activity without needing constant direction.
You will also have:
• Experience providing senior executive, PA or administrative support, including complex diary management, meeting coordination and action tracking
• Strong administrative discipline, with the ability to maintain trackers, organise documents, manage follow-ups and keep processes moving
• Experience with invoicing, purchase orders, supplier administration, expenses or other finance-related administrative processes
• Excellent written and verbal communication skills, with strong attention to detail and the ability to produce clear, professional and accurate materials
• Confidence working with senior stakeholders, board materials and confidential information, with sound judgement and discretion
• Strong systems capability, including comfort using Microsoft Office, Teams, SharePoint and workflow, ticketing or task management tools
• A practical, solutions-focused mindset with strong ownership, follow-through and the ability to operate calmly at pace
