Role Objective:
We are seeking a Front Desk Administrative Assistant to join our team. As the first point of contact for the Firm - whether by phone or in person - this person ensures every client, prospective client, and visitor receives a professional and welcoming experience. They are efficient problem-solvers, skilled at quickly understanding what someone needs and either providing the information directly or connecting them with the right resource. Beyond front-desk duties, this role also supports day-to-day office operations including client communication, document handling, payment processing, and maintaining a well-organized office making it a critical part of the Firm's daily functioning.
Responsibilities:
Front Desk & Office Operations
• Opens and closes the office daily.
• Greets clients and visitors, providing a professional and welcoming first impression.
• Regularly cleans and organizes commonly used areas, including the seating area and conference rooms.
• Maintains supplies inventory - monitoring stock levels, anticipating needs, and placing and expediting orders.
• Orders supplies and manages office equipment as part of general administrative support.
Client Communication & Support
• Manages client communication, answering questions and ensuring client needs are met.
• Takes payments via cash, money order, check, and LawPay.
• Exhibits polite, professional communication across phone, email, and mail.
Scheduling & Document Management
• Reviews Outlook calendars and scheduled appointments, staying ahead of upcoming meetings and deadlines.
• Scans signed forms into Filevine following client reviews.
• Processes incoming mail by scanning and uploading to Dropbox.
• Performs general administrative duties, including filing, copying, binding, and scanning.
Team Support & Confidentiality
• Maintains confidentiality of all sensitive client information and documents.
• Supports the broader team through strong organization and communication.
• Performs other duties as assigned by the supervisor.
Requirements:
• Fluency in Spanish.
• Ability to commute to our Phoenix and Glendale, AZ offices (this is not a remote position).
• High school diploma or equivalent.
• 1–3 years of similar administrative or front-desk experience.
• 1+ years of experience with Microsoft Office (Word, Excel) and Google products.
• 1+ years of customer service experience.
• Strong work ethic, problem-solving skills, and attention to detail.
• Ability to maintain confidentiality of sensitive information.
• Reliable, accurate, and detail-oriented in day-to-day work.
