Job Summary

The HR Assistant provides comprehensive administrative support to the Human Resources department. The role works under the direction of the HR Generalist, who leads workflow coordination, task management, and departmental priorities. The position also operates under the overall supervision of the Senior HR Director, supporting broader HR initiatives and ensuring accurate, timely execution of HR processes. Key responsibilities include maintaining employee records, processing HRIS updates, coordinating onboarding activities, supporting recruitment tasks, preparing internal communications, and assisting with daily office operations to ensure smooth HR functionality across 2 Circle Inc.

Essential Job Functions and Responsibilities

Human Resources Operations

• Provides daily administrative and operational support to the HR Generalist, who serves as the primary lead for workflow guidance, task assignments, and prioritization.

• Assists both the HR Generalist and Senior HR Director with routine HR tasks to ensure smooth and efficient department operations.

• Maintains accurate employee personnel records and support HRIS updates including new hires, job changes, and offboarding actions.

• Coordinates basic onboarding activities such as preparing welcome materials, collecting required documentation, and helping new employees with initial system setup and company‑issued equipment.

• Supports office operations by monitoring supply inventory, maintaining visitor logs, and providing front

• Prepares and distribute simple HR communications including employee announcements, monthly calendars, and welcome‑aboard updates.

• Assists with posting job openings to required state and company platforms, tracking applicants, and supporting recruitment tasks as directed by the HR Generalist.

• Completes routine administrative duties such as creating shipping labels, updating distribution lists, and maintaining internal HR communication channels.

• Provides support for HR projects and process improvements by completing assigned tasks and following direction from the HR Generalist, Senior HR Director, or VP of Human Resources.

• Performs other entry‑level administrative duties as assigned.

Supervisory Responsibilities

• This position does not have supervisory responsibilities.

Required Skills/Abilities

• Strong understanding of company culture, organizational dynamics, and effective change‑management practices.

• Ability to maintain confidentiality and exercise sound judgment when handling employee records, personnel matters, and other sensitive HR information.

• Excellent organizational skills with the ability to manage multiple tasks, prioritize effectively, and maintain accuracy under tight deadlines.

• Approachable communicator with strong interpersonal skills and the ability to collaborate effectively with diverse teams across the organization.

• Exceptional written and verbal communication skills, including the ability to draft clear internal announcements and documentation.

• Proficiency using HR‑related technologies and Microsoft Office applications (Excel, Outlook, Word, PowerPoint).

• Ability to follow day workflow direction from the HR Generalist while maintaining accountability for assigned tasks and deadlines.

• Resourceful, proactive problem‑solver with strong professional integrity and a customer‑service mindset.

• Ability to recognize issues that need to be elevated to the HR Generalist or Senior HR Director.

Education and Experience

• Associate degree preferred; a bachelor’s degree or equivalent work experience may also be considered.

• One (1) to three (3) years of experience in Human Resources or general administrative support is preferred, but entry‑level candidates with strong organizational and communication skills will be considered.

• Proficiency with Microsoft Office applications (Outlook, Word, Excel, PowerPoint) required.

• Experience with Microsoft SharePoint preferred; advanced experience or certification is a plus.

• Familiarity with NAVAIR environments is beneficial but not required.

• Demonstrated ability to produce accurate work, manage deadlines, and follow daily workflow direction within a fast‑paced environment.

• Secret Clearance preferred; applicants without an active clearance will be subject to standard background checks.

Work Environment and Physical Requirements

• Normal office conditions exist, and the noise level in the work environment can vary from low to moderate.

• Limited overnight travel may be required from time to time.

• Prolonged periods of sitting at a desk and working on a computer.

• Must be able to lift 15 pounds at times.

The hourly pay range for this position is $27.50 to $33.00, based on experience and qualifications.
