About this role

Job summary

To provide a comprehensive support to AHP's and speciality teams, including nurse practitioners.

To produce accurate correspondence in a timely manner, typing from audio dictation.

Main duties of the job

Type dictation from shorthand and/or audio, of clinical letters, discharge summaries, domiciliary visits, medical reports, rotas, references and general correspondence - including administration.

Ensure that effective communication both within the Trust and between the hospital, GPs and patients are maintained.

Working as part of the secretarial team in ensuring that discharges and clinic letters are typed and sent out in accordance with the locally agreed standards.

Deal with enquiries by letter/email/telephone from patients, GPs, other hospitals, police, solicitors, other consultants, unit management etc.

Arrange investigations, follow up and ensure that all results are presented to medical/surgical staff and subsequently filed into patients medical records within the Trust locally agreed time scales.

General office duties, including dealing with incoming and outgoing correspondence, filing and photocopying etc.

Cooperate fully in the introduction of new technology and of new methods of working as appropriate to the work of a medical secretary.

Through self-development, continuously update knowledge of new trends and maintain and improve own knowledge.

Liaise closely with other Trusts regarding patient information and management and establish good levels of communication/liaison with other hospitals and departments.

The ability and commitment to work as a team member and be able to adhere to strict deadlines

Must undertake all mandatory training as required by the Trust.

We are looking for an experienced Support Secretary to join our small administrative team in this busy, friendly department.We are looking for an energetic and enthusiastic person with a mature, responsible and flexible outlook, you will be required to cover other sites. Previous experience as a support Secretary with audio-typing skills is essential. You will have a caring and courteous manner and enjoy working with and meeting people. You will also be able to work unsupervised and display initiative, whilst being aware of team membership.You will be responsible for typing clinical and administrative letters and other correspondence, answering telephone enquiries and dealing with patients from clinic when referred and taking minutes for management meetings. Person Specification

Education/Qualifications Essential

Educated to GCSE/O Level standard/equivalen RSA/OCR Level II or equivalent Word Processing/Audio typing Skills Knowledge of medical terminology and secretarial procedures

Experience Essential

Excellent I.T. skills with knowledge and experience of all Microsoft office packages Experience working in an NHS office environment

Skills/Ability/Knowledge Essential

Excellent communication skills Able to use own initiative and respond to new challenges Self motivated and able to work with limited supervision Manage/prioritise own workload Ability to accurately maintain computerise and manual filing/documentation system Ability to work as part of a team Ability to manage difficult/sensitive situations Ability and willingness to undertake further training as required
