Job summary

We are seeking an enthusiastic and experienced Deputy Practice Manager to join our busy and friendly GP practice. The successful candidate will support the Practice Manager and Partners in leading the operational, administrative and patient services functions of the practice, helping to deliver safe, high-quality care to over our growing patient population.

This is an excellent opportunity for an experienced healthcare manager, assistant practice manager or senior administrator looking to progress their career within primary care. Experience in General Practice and EMIS Web is highly desirable.

Main duties of the job

As Deputy Practice Manager, you will support the Practice Manager and GP Partners in the day-to-day management and development of a busy GP practice. You will provide leadership and support to reception and administrative teams, helping to ensure the practice delivers safe, efficient and patient-centred services.

The role includes overseeing operational processes, staff management, patient services, complaints handling, compliance with NHS and CQC requirements, workforce planning, quality improvement initiatives and service development. You will work closely with clinicians, administrative staff and external organisations to ensure the smooth running of the practice and will deputise for the Practice Manager in their absence.

This is a varied and hands-on role requiring excellent organisational, communication and leadership skills, with a strong focus on improving patient experience, supporting staff and driving continuous improvement across the practice.

Job description Job responsibilities

The Deputy Practice Manager will support the Practice Manager and GP Partners in the effective day-to-day management of The Shrubberies Medical Centre, ensuring the delivery of high-quality, safe and patient-centred services.

The post holder will provide leadership and operational support to the reception and administrative teams, helping to ensure the smooth running of practice services and maintaining high standards of patient care and customer service.

Key responsibilities include supporting staff recruitment, induction, supervision and performance management; managing patient complaints and feedback; monitoring appointment capacity and access; supporting compliance with CQC standards, NHS contractual requirements, information governance and health and safety regulations; and assisting with practice policies, procedures and quality improvement initiatives.

The Deputy Practice Manager will play an active role in workforce planning, rota management, staff training compliance, service development and business continuity planning. They will also support the monitoring of practice performance, including Quality and Outcomes Framework (QOF), Enhanced Services and other contractual targets.

The role requires close working relationships with clinicians, administrative staff, Primary Care Network (PCN) colleagues, NHS organisations and other healthcare partners to ensure efficient service delivery and continuous improvement across the practice.

The successful candidate will have excellent organisational, communication and leadership skills, with the ability to manage competing priorities, solve problems effectively and support a positive and collaborative team culture.

In the absence of the Practice Manager, the Deputy Practice Manager will deputise as required and undertake other appropriate duties consistent with the responsibilities of the role.

Person Specification

Qualifications Essential

GCSE English and Mathematics (Grade C/4 or above) or equivalent Educated to A-Level standard or equivalent Evidence of continuing professional development Good standard of literacy, numeracy and IT skills

Desirable

Leadership, Management or Business Administration qualification AMSPAR qualification ILM Management qualification or equivalent Human Resources qualification

Experience Essential

Minimum 2 years' experience in a supervisory or management role Experience working within a GP practice, Primary Care, NHS or healthcare setting Experience leading and supporting staff teams Experience managing patient complaints and resolving complex issues Experience implementing and improving administrative systems and processes Experience working with confidential and sensitive information Experience using Microsoft Office applications, including Word, Excel and Outlook

Desirable

Previous experience as a Deputy Practice Manager, Assistant Practice Manager or Senior Practice Administrator Experience using EMIS Web Experience supporting CQC compliance and inspections Experience monitoring QOF, Enhanced Services or other NHS performance targets Experience with staff recruitment, induction and performance management Experience of rota management and workforce planning
