Job summary
The ER Administrator will work as part of the Employee Relations Team, providing a high level of support and assistance in ensuring key activities are undertaken in an efficient and effective manner. The postholder will be responsible for maintaining efficient administration of key ER processes, including the co-ordination of formal meetings and hearings. They will offer a customer always focussed approach, liaising with managers across all Divisions, Union Representatives and where necessary, external agencies.
Main duties of the job
Maintain the Employee Relations Team inbox, ensuring consistent, professional and timely responses to queries.
Act as one of the first point of contact for managers and members of staff at all levels dealing with their enquiries, providing information on a range of ER policies and procedures and NHS terms and conditions of employment
Deal with escalated queries from the HR Services team and provide accurate ER advice, or escalate as necessary
Direct employees and managers to the appropriate ER Advisor/Team, if necessary where more complex ER advice is needed.
Liaising and communicate effectively with colleagues and other departments, outside agencies, recording and communicating complex, controversial or sensitive information.
Communicating sensitive and confidential HR information in person, by telephone and in writing using tact, discretion and sensitivity.
Build and maintain excellent working relationships within own team, with managers and staff.
Keeping up to date on Trust policies, national terms and conditions for Agenda for Change staff and basic employment legislation.

Job description Job responsibilities
Support the ER Services Advisor, responding to ER related enquiries and data requests as needed.
Provide administrative support to the Group Employee Relations Team (predominantly site based but cross covering where needed)
Provide cross cover during the annual leave and absence of colleagues as needed.
Support members of the ER team with investigations and casework. Act as a coordinator on the day of hearings and ER team meetings, including organising papers, booking rooms, liaising with employees/witnesses, and note taking as necessary.
Organise and arrange disciplinary, appeal, grievance, and sickness absence hearings under the direction of the ER team member, ensuring that all information sent to the various parties is accurate and complete and is dispatched in a timely fashion.
Support with the co-ordination of the monthly Partnership Forum, including liaising with staff side colleagues, attending pre-meets, preparing agendas and forward planners and taking minutes/actions as directed.
To support with requisition/purchase order requests, linking in with the Trusts procurement team as required
Support the ER Services Advisor/Manager with any ad hoc projects relating to Employee Relations.
Assist the ER team with organisation and delivery of training events, including updating slides/handouts, recording attendance, issuing certificates in accordance with instructions provided.
Ensure effective agenda setting and taking of formal minutes and recording actions at the ER team meetings as required also ensuring progress is monitored, and tasks closed. Perform general administrative duties including printing, photocopying, writing agendas, arranging specific meetings, collation and posting of hearing packs as and when requested.

Qualifications Essential
A Level/NVQ level 3 in Business Administration or equivalent relevant qualification Evidence of equivalent relevant professional work experience and continuing professional development

CIPD level 3 or equivalent qualification
Experience Essential
Demonstrable administrative experience in a busy office environment. Experience of working to strict deadlines and policies and procedures. Experience of working in a customer focussed first line support role

Previous HR experience Experience of using Electronic Staff Record (ESR) system, Health roster and ER case tracker system
Skills / Knowledge Essential
Database skills (e.g. use of Excel), able to input, manipulate and extract data e.g. sort, filter and produce basic graphs. Able to use initiative to handle a wide range of queries from managers & staff providing information on issues such as terms and conditions, maternity leave etc. Excellent oral/written communication skills and professional telephone manner. Ability to deal assertively with difficult situations Ability to pay close attention to detail and accurately complete tasks
