About this role

Job summary

An exciting opportunity has arisen for an enthusiastic, conscientious and dedicated Higher Clerical Officer to join the Engineering and Building Facilities Management Team which manages all reactive and planned works at sites within the CHoICE Management portfolio. The successful applicant will be joining a dynamic team which forms part of an organisation which is constantly exploring options and developing new opportunities to provide the best possible healthcare facilities management services within the region to its existing customers.

The role will consist of three key elements which form part the key services provided: administrative support in relation to engineering and building related processes/service and compliance undertaken on site and other sites maintained by CHoICE, inclusion within the team that initial welcomes/registers external contractors attendance on site and inclusion within the team that forms part of the Estates helpdesk team who may initially receive emergency reactive breakdown calls before escalating in an appropriate manner.

Main duties of the job

All applicants must have a positive, friendly and co-operative manner whilst being prepared to be flexible to meet the service needs of a large Acute NHS Trust. The successful candidate will need to ensure that they possess the appropriate customer focused attitude and at time negotiation skills that will be used to represent the front of house characteristics which is required as part of the role.

The ideal candidate will have an understanding of engineering/building related activities which will typically be completed as part of a large facilities management team, however on the job development and learning will be provided if necessary. The successful candidate will need to be able to flex and react to peaks in workloads during key operational windows, as well as being able to learn how to operate new Estates related operating systems and develop or maintain existing databases using existing workflows which are used to manage a range of estates related requests.

Job description Job responsibilities

The post holder will be required to provide clerical and administrative support to the engineering and building team within CHoICE Hard FM. This will form part of and include:

The production and management of spreadsheets, data bases and other associated documents based on information provided; updating, recording and filing of completed service sheets in a proscribed format and location; also, the recording and taking of meeting minutes including the circulation pre & post meeting information.

Forming part of the Estates Help Desk team which typically provides first level response to complaints and queries raised by CHoICE customers including emergency requests/queries.

Assist with the day to day management of external contractors on site, this may include: advising external contractor of the correct process for registering on site, registering their vehicles on site and the issuing of keys and swipe access passes when instructed by the relevant engineer/builder.

Person Specification

Physical Skills Essential

Able to undertake basic moving and handling tasks Ability to sit at workstations for prolonged periods Able to produce documents at speed with high accuracy levels. Advanced keyboard skills will be required as part of this. Good hand eye co-ordination skills when transferring information

Knowledge and Skills Essential

Able to communicate information in an understandable way to all levels of staff and colleagues Able to work effectively in a multi-disciplinary team Able to use own initiative to plan and prioritise own workload within given timescales and objectives The ability to be flexible to cover other similar clerical duties within the department as required The ability to work to tight deadlines on a wide and varied range of work which will require constant alterations to the working pattern

Qualifications Essential

Basic Numeracy & Literacy Skills to Level 1 NVQ Level 3 in Business Administration OR equivalent OR equivalent experience

Experience of communicating with people at all levels both in person and in writing/email and telephone Previous experience of working in an office environment in a clerical/administrative role Experience of using Microsoft Office packages e.g. Word, Outlook, Excel
