About this role

Job summary

Stonebridge surgery is looking for a friendly, organised and reliable Medical Receptionist / Administrator to join our busy GP practice due to a valued member of our team retiring.

This will be 32 hours per week which could also be split as a job share between two people at 16 hour per week. Working pattern will be Monday - Friday times to be arranged but will consist of 8am starts and 6.30pm finishes. There will also be the need for some Saturday morning working 8am -11am on a rota basis.

You will be an important first point of contact for patients, providing a welcoming and professional service both in person and by telephone. You will also support the clinical and administrative teams to help the practice run smoothly and efficiently.

Key responsibilities

Welcome patients and visitors in a professional, courteous and helpful manner. Answer telephone calls, manage enquiries and direct patients to the appropriate service. Book, amend and cancel appointments using the practice's clinical system. Process clinical correspondence and patient documentation. Register new patients and maintain accurate, up-to-date medical records. Liaise with GPs, nurses, pharmacies, hospitals and other healthcare providers. Manage confidential and sensitive information in line with GDPR and NHS requirements. Support general administrative duties, including emails, post and data entry. Follow practice policies relating to safeguarding, infection control, health and safety, and confidentiality.

The duties and responsibilities to be undertaken by members of the practice administration team may include any or all the items in the following list. Duties may be varied from time to time under the direction of the practice manager, dependent on current and evolving practice workload and staffing levels:

Opening up/locking up of practice premises and maintaining security in accordance with practice protocols Maintaining and monitoring the practice appointments system Processing personal and telephone requests for appointments, visits, and telephone consultations, and ensuring callers are directed to the appropriate healthcare professional Processing and distributing incoming (and outgoing) mail Taking messages and passing on information Filing and retrieving paperwork Processing repeat prescriptions in accordance with practice guidelines Computer data entry/data allocation and collation; processing and recording information in accordance with practice procedures Initiating contact with and responding to requests from patients, other team member and associated healthcare agencies and providers Clearing and re-stocking of consulting rooms as required Providing clerical assistance to practice staff as required from time to time, including word/data processing, filing, photocopying, and scanning Ordering, re-ordering and monitoring of stationery and other supplies Dealing with clinical waste Provision of refreshments for staff and visitors as required, loading and emptying the dishwasher and keeping the kitchen area clean and tidy Keeping the reception area, noticeboards, and leaflet dispensers tidy and free from obstructions and clutterConfidentiality:

The post-holder will assist in promoting and maintaining their own and others health, safety and security as defined in the practice health & safety policy, the practice health & safety manual, and the practice infection control policy and published procedures. This will include:

Using personal security systems within the workplace according to practice guidelines Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks Making effective use of training to update knowledge and skills Using appropriate infection control procedures, maintaining work areas in a tidy and safe way, free from hazards Actively reporting health and safety hazards and infection hazards immediately when recognised Keeping own work areas and general/patient areas generally clean, assisting in the maintenance of general standards of cleanliness consistent with the scope of the job holders role Undertaking periodic infection control training (minimum annually) Reporting potential risks identified

Demonstrate due regard for safeguarding and promoting the welfare of children.

Person Specification

Experience Essential

Experience working in a busy reception, customer service or administrative environment Experience dealing with the public, both face-to-face and over the telephone Experience using IT systems confidently and accurately Experience working as part of a team to meet deadlines and manage workload Strong organisational skills with the ability to prioritise tasks effectively Ability to work in a fast-paced environment and handle competing demands Good attention to detail and accuracy when processing information Ability to maintain strict confidentiality at all times

Desirable

Experience working in General Practice Experience using EMIS clinical system

Qualifications Essential

Good standard of general education (GCSE English and Maths or equivalent)
