Position Summary The Location Administrative & Accounting Coordinator is responsible for supporting the day-to-day administrative, accounting, payroll, inventory, billing, and documentation needs of the grain elevator. This position works closely with location management, vessel agents, vendors, employees, customers, and other internal teams to ensure records are accurate, payments and invoices are processed correctly, and operational documentation is maintained. The ideal candidate is organized, dependable, detail-oriented, and comfortable working in a fast-paced agricultural and industrial environment.
Key Responsibilities • Prepare and process vessel invoices, including pre-dockage and final invoicing for dockage, cleanup, wharfage, security, water, overtime, and other applicable charges. • Review vessel payments, billing amounts, and supporting records to ensure accuracy and proper documentation. • Coordinate with vessel agents, vendors, and internal team members to resolve billing, documentation, or operational issues that arise during vessel loading. • Prepare and distribute vessel-related paperwork to the appropriate parties. • Oversee the distribution of vessel samples in accordance with load orders and customer requirements. • Assist with the preparation and submission of required certification applications for the location. • Prepare and maintain monthly key inventory and operational statements, including dockage summaries, total bushels handled, dust truck activity, location throughput, hours worked, and production totals. • Create and receive purchase orders within the payment system and ensure purchases are properly documented for the location. • Review accounts payable audits to verify vendors are paid accurately and expenses are charged to the appropriate location. • Enter and maintain hourly payroll records for location employees. • Maintain hourly employee records and assist with the administration of employee benefits. • Process annual employee pay increases and ensure payroll records are updated accurately. • Generate payroll and labor reports at management’s request, including overtime, hours worked, and other applicable information. • Manage and maintain the location’s record retention program, ensuring required documents are properly organized and retained. • Generate rail billing slips and maintain related documentation. • During harvest, create and process receiving scale tickets and accurately record weights for inbound and outbound trucks. • Monitor and manage location supply inventory and assist with maintaining appropriate inventory levels. • Print, maintain, and update daily commercial inventory reports. • Perform additional bookkeeping, accounting, and administrative functions as needed to support location operations. • Assist internal and external auditors with annual inventory reviews and provide requested documentation and records. • Maintain a high level of accuracy and attention to detail when handling financial records, payroll, inventory information, and operational documentation. • Maintain confidentiality of employee, customer, vendor, and company information. • Perform other duties and responsibilities as assigned by management.
: Qualifications & Requirements • High school diploma or equivalent required; additional education or training in accounting, business administration, or a related field is preferred. • Previous experience in accounting, bookkeeping, payroll, office administration, or a related role preferred. • Strong attention to detail and ability to maintain accurate records. • Ability to organize and prioritize multiple tasks in a fast-paced environment. • Strong communication and interpersonal skills with the ability to work effectively with employees, vendors, customers, agents, and management. • Ability to maintain confidentiality when handling payroll, employee, financial, and business information. • Proficiency with Microsoft Office applications, particularly Excel, Word, and Outlook. • Ability to learn and effectively use company accounting, payroll, payment, inventory, and operational systems. • Ability to work independently while also contributing effectively as part of a team. • Ability to work extended hours, weekends, and holidays as needed during harvest, vessel loading, or other periods of increased operational activity. Preferred Skills • Experience in the grain, agriculture, transportation, terminal, or industrial operations industry. • Experience with vessel or rail billing and documentation. • Experience with payroll administration and employee recordkeeping. • Experience with inventory reporting and reconciliation. • Basic understanding of accounts payable, invoicing, purchasing, and general bookkeeping practices. • Strong Excel and data-entry skills. Work Environment This position is based at a grain elevator and operates in an environment where administrative and accounting responsibilities support active industrial and agricultural operations. The position may require interaction with employees working in the elevator, truck and rail operations, vessel loading activities, vendors, and other personnel. Employees are expected to follow all company safety policies and procedures and maintain a professional and safety-conscious work environment.
Physical & Schedule Requirements • Primarily office-based work with periodic movement throughout the facility as needed to support operations. • Ability to sit, stand, walk, bend, and move around the facility as required. • Ability to work in varying weather and industrial conditions when operational duties require presence outside the office. • Flexible schedule and willingness to work overtime, weekends, holidays, and extended hours when business needs require, particularly during harvest and vessel operations. : Base pay offered may vary depending on multiple individualized factors, including market location, job-related knowledge, skills, and experience. Hourly and salaried non-exempt employees will also be paid overtime pay when working qualifying overtime hours.
