Children’s Social Care are recruiting to a full time Team Coordinator who provides a high quality, efficient and responsive business support to multidisciplined Social Worker Teams. Team Coordinators are actively involved in day to day administrative support, excellent organisational skills are required, an ability to work under pressure and deal with conflicting demands whilst meeting deadlines. You must possess good interpersonal and communication skills, have experience of working in a busy environment.
Responsibilities of a Team Coordinator include arranging complex meetings, minute taking, processing request for services, financial payments, updating information on Liquidlogic.
NVQ level 3 or equivalent qualification, skills and experience is essential, you must have excellent IT experience, the role can be emotionally demanding and be able to maintain confidentiality.
ROLE AND PURPOSE
Grade 4: To support the delivery of high quality social work activities with the Hull Children’s Social Care Practice Model through the provision of administrative and liaison duties for a multi-disciplinary group of professionals.
To actively work as part of the whole service system, supporting colleagues in the day to day running of the service area.
Grade 5, all of the above plus: To initiate on issues and actions which arise following discussions from reflective meetings ensuring children, young people, families and carers immediate needs are met. PRINCIPAL ACCOUNTABILITIES: Grade 4: 1. To promote and safeguard the welfare of children, young people and/or vulnerable adults.
2. Statutory Obligations - To organise a variety of meetings within statutory and procedural timescales, for and on behalf of families and practitioners as directed within a sensitive and highly confidential environment. Where appropriate and agreed to ensure the provision of additional support required for families to access meetings.
3. Provides a high quality and efficient first point of contact and ensure communication channels between colleagues, members of the public or other agencies are effective. Meets and greets visitors, children, young people, families, colleagues and other agency professionals
4. To maintain awareness of children and family circumstances and to keep up to date with developments within casework by being an integrated member of the team.
5. Communicates respectfully and effectively with children and their families/carers, establishing rapport and building respectful, honest and trusted relationships.
6. Organises and co-ordinates administration activities for practitioners. Maintains updates, validates and extracts data on the LCS and Oracle. Liaises with the Team Leader to highlight any issues arising relating to work deadlines and cover.
7. Supports all communications coming into the team dealing with appropriately and effectively in a timely manner e.g. correspondence/letters, emails, complaints/ representations, financial claims
8. Responsible for supporting the Team Leader to organise weekly case meetings and ensures that each meeting agreed action is accurately recorded onto the LCS.
9. Responsible for minute taking for statutory meetings and recording as appropriate on the case recording system.
10. Organises transportation arrangements along with liaising with CYP&FS Contact Team for children, young people and families as directed through practitioners. Organises all financial arrangements in relation to families in line with Hull City Council procedures.
11. The Health and Safety at Work etc. Act 1974 and associated legislation places responsibilities for health and safety on Hull City Council, as your employer and you as an employee of the council. In addition to the Councils overall duties, the post holder has personal responsibility for their own health, safety and wellbeing and that of other employees; additional and more specific responsibilities are identified in the Council’s Corporate H&S policy.
Grade 5, all of the above plus: 12. Ensuring statutory forms have been completed liaising with partner agencies in a timely manner reducing delay.
13. Responsibility for updating and maintaining risk direction tool to provide colleagues with relevant information to inform decision making.
14. Organise and monitor regular payments ensuring start and end dates are input in a timely manner so overpayments do not occur.
15. Ensure case transfer process and closure processes is fully completed and all relevant processes and systems are updated, professionals and networks are communicated too regarding the change of arrangements/circumstances.
16. Create and maintain electronic cultural Genograms/Ecomaps essential for reflective discussions, presentation of cases at panels, conferences and included in court bundles to support legal decisions.
17. Support clients with completing of forms, sign posting to other agencies, telephoning benefits agency, contacting utility companies on their behalf.
18. Mentor new team coordinators and provide in house training for systems and procedures.
19. Liaise with professionals/agencies to collate information for life story work to ensure child or young person is provided with a comprehensive visual biography of their life.
20. Liaise and communicate with families, carers, children and young people by collating feedback to support quality assurance process to enable service improvement and evidence of quality of service delivered required for Ofsted Inspections.
