We are looking for a Home-Based Virtual Assistant to join our Client, a growing U.S.-based company specializing in data center infrastructure, containment systems, manufacturing, and installation services. In this role, you will provide high-level administrative, personal, and project coordination support to an executive, helping manage both day-to-day personal responsibilities and key business initiatives.
You will be responsible for managing schedules and appointments, coordinating personal arrangements, tracking expenses and important deadlines, facilitating payments, supporting business projects from initiation through completion, and following up with internal and external stakeholders. You will also help coordinate employee and personal appreciation initiatives, events, and thoughtful gestures that strengthen relationships and celebrate important milestones.
This role is ideal for someone who demonstrates excellent judgment, initiative, discretion, organization, and follow-through. The successful candidate should be comfortable working independently, making sound decisions within their level of authority, proactively identifying what needs to be done, and removing blockers whenever possible. Equally important is the ability to communicate with tact, kindness, and professionalism, even when handling sensitive, urgent, or challenging situations.
REQUIRED CORE COMPETENCIES

WHAT YOU WILL DO
• Executive & Personal Scheduling: Manage and coordinate personal appointments, commitments, reminders, and other scheduling requirements while considering the executive's location, availability, and priorities.
• Personal Arrangements & Research: Research, evaluate, and coordinate personal services and arrangements, such as appointments, accommodations, travel-related needs, and other day-to-day requirements.
• Expense & Payment Coordination: Track personal expenses, coordinate bill payments as authorized, communicate with service providers or organizations regarding payment requirements, and maintain organized records of completed and outstanding payments.
• Deadline & Reminder Management: Monitor important personal and financial deadlines and proactively provide reminders to ensure time-sensitive obligations are addressed appropriately.
• Business Project Coordination: Support and manage assigned business projects by gathering requirements, coordinating meetings, documenting next steps, communicating with internal and external stakeholders, and following through until completion.
• Stakeholder Follow-Up: Draft professional emails, communicate with vendors, designers, service providers, and internal teams, and consistently follow up on outstanding actions, decisions, or deliverables.
• Project Tracking & Blocker Resolution: Maintain visibility of project progress, identify delays or blockers, and use sound judgment to resolve issues within the scope of the role or escalate matters when additional executive input is required.
• Research & Decision Support: Research vendors, products, services, venues, gifts, accommodations, and other options; compare relevant information; and provide thoughtful recommendations to support decision-making.
• Employee & Personal Appreciation: Research and coordinate thoughtful ways to recognize employees, colleagues, friends, and other important individuals, including gifts, celebrations, events, and milestone recognition.
• Company Event Coordination: Assist in planning and coordinating corporate celebrations, team gatherings, recognition activities, and other initiatives that encourage employees and leadership to celebrate achievements and company milestones.
• Administrative Support: Prepare correspondence, maintain records, organize information, track action items, and provide other administrative support required by the executive.
• Perform tasks analogous to the preceding and other related duties as assigned.
WHAT WE LOOK FOR
• Education: Bachelor's degree in Finance, Business Administration, Management, Accounting, or a related field is preferred. A Bachelor's degree in Finance is highly advantageous.
• Experience: 1–3 years of experience as a Virtual Assistant, Executive Assistant, Personal Assistant, Project Coordinator, Administrative Assistant, or in a similar role supporting executives or business leaders.
• Executive Support Experience: Experience directly supporting executives, business owners, senior leaders, or U.S.-based clients is highly advantageous.
• Language Proficiency: Excellent verbal and written English communication skills, with the ability to communicate tactfully, professionally, and kindly.
• Working Schedule: Ability to work overnight/graveyard shifts in Philippine time or within U.S. operating hours.
• Technical & Professional Skills:
• Strong proficiency in Microsoft Office and/or Google Workspace applications.
• Experience with calendar management, email correspondence, online research, spreadsheets, and digital record keeping.
• Strong project coordination and follow-up skills, with the ability to manage tasks from initiation through completion.
• Ability to research and evaluate vendors, services, products, and other options and provide well-organized recommendations.
• Strong attention to detail and ability to manage multiple deadlines and priorities.
• Comfortable making appropriate decisions independently while recognizing when escalation or executive approval is required.
• Ability to communicate professionally with vendors, employees, service providers, and other internal and external stakeholders.
• Ability to handle confidential personal, financial, and business information with discretion.
• Previous experience working with U.S.-based executives or clients is highly advantageous.
