We are looking for a Legal Secretary to join our Employment team in Edinburgh to provide a high-quality and efficient secretarial service to Partners, fee-earners and trainee solicitors. Reporting directly to the Secretarial Services Manager, your focus will be on efficiently managing your own workload and being proactive with the ability to work on your own initiative.
Tasks include, but are not limited to: • Preparing, amending and formatting legal correspondence, agreements, court forms and other documentation, including Tribunal bundles • Managing diaries and emails for Partners and fee earners • Organising meetings, calls, travel arrangements and processing fee earner expenses • Liaising with courts and other third parties • Opening new matters, drafting retainer letters and monitoring progress of letters being signed by partners, issued to and approved by clients • Managing Key Dates Tracker in relation to important dates and liaising with the legal tech team • Preparing finance reports for fee earners ahead of billing, assisting with managing billing for specific clients and liaising with clients for approval to bill • Assisting with the preparation of pitch documentation, with a particular focus on creating and formatting presentations in Powerpoint • Managing HighQ sites, monitoring document uploads and keeping site records up to date • Issuing settlement agreements by DocuSign, monitoring signing and providing updates on progress • Managing workflow to the Document & Design Centre, Print Room and other support teams as required, proactively ensuring work is returned within the required timescales • Liaising with Business Development, Marketing, Events and Finance teams to support specific team-based tasks • Working to strict deadlines and managing priorities effectively • Establishing positive and effective working relationships with colleagues at all levels • Providing cross-Practice Group support where necessary
About You
You will need to be adaptable to change whilst maintaining a professional approach, demonstrating high levels of client care, organisational and time management skills. Ideally, you will have gained experience within another law firm demonstrating a proactive and enthusiastic approach with high levels of IT literacy, superb attention to detail and the ability to learn new systems quickly.
