WHO WE ARE
The World Anti-Doping Agency (WADA) was established in 1999 as an international independent agency to lead a collaborative worldwide movement for doping-free sport. As the global regulatory body, WADA’s primary role is to develop, harmonize and coordinate anti-doping rules and policies across all sports and countries. Our key activities include: scientific and social science research; education; intelligence & investigations; development of anti-doping capacity; and, monitoring of compliance with the World Anti-Doping Program.
POSITION OVERVIEW
The coordinator provides administrative, operational, and logistical support to WADA’s Africa Office, contributing to the smooth, professional, and efficient day-to-day functioning of the office.
This role requires a highly organized, proactive, and service-oriented individual who can effectively manage competing priorities, communicate professionally with internal and external stakeholders, and provide practical support across a broad range of office activities.
KEY RESPONSIBILITIES
Administrative and Operational Support
• Provide comprehensive day-to-day administrative and operational support to the Africa Office.
• Manage correspondence, calendars and schedules, travel arrangements, meeting logistics, and related administrative requirements.
• Respond to general inquiries and ensure information and requests are directed to the appropriate person or function in a timely manner.
• Maintain accurate and well-organized office records, filing systems, contact lists, stakeholder databases, and other administrative documentation.
• Maintain follow-up registers and monitor actions, deadlines, and outstanding administrative tasks to support timely completion.
• Ensure documents and information are accurately stored, maintained, and easily retrievable.
• Participate in internal working groups, as identified or required.
• Manage office suppliers and related accounts, oversee petty cash, and liaise with Finance on office-related financial matters, expenses, and administrative requirements.
Meetings, Events and Coordination
• Support the coordination and logistical organization of meetings, workshops, events, and other Africa Office activities.
• Coordinate meeting rooms, invitations, schedules, materials, equipment, and other practical arrangements as required.
• Provide participants and stakeholders with relevant logistical information and support before, during, and after meetings and events.
• Assist with post-meeting and post-event follow-up, including tracking agreed actions and outstanding requirements.
General Office and Facilities Support
• Help maintain a professional, organized, welcoming, and fully functional office environment.
• Monitor office supplies, amenities, and shared consumables, including refreshments and coffee supplies, and arrange replenishment as required.
• Liaise with relevant suppliers and service providers to support the effective day-to-day operation of the office.
Other Duties
• Undertake other duties, assignments, and responsibilities as reasonably required from time to time in support of the Africa Office and WADA’s broader objectives.
QUALIFICATIONS AND SKILLS
• Diploma, post-secondary qualification, or equivalent education and/or professional training in administration, business administration, office management, or a related field.
• A minimum of three to five years of relevant professional experience in administration, coordination, office management, or a comparable role.
• Fluency in French, demonstrated through strong written and verbal communication skills.
• Strong proficiency in English, with effective written and verbal communication skills.
• Strong organizational and time-management skills, with the ability to prioritize competing demands and manage multiple tasks and deadlines effectively.
• A proactive, dependable, and service-oriented approach, combined with sound judgment and strong attention to detail.
• Demonstrated ability to work independently, take initiative, and follow through on responsibilities.
• Ability to collaborate effectively and professionally with colleagues, stakeholders, suppliers, and other external contacts.
