Job Overview

The Office Manager is the central point of support for the Red Cedar Construction Services office and plays an important role in keeping the workplace organized, welcoming, and running smoothly each day. This position is ideal for someone who naturally takes care of the details, enjoys helping others, and takes pride in creating an office environment where employees, visitors, candidates, vendors, and partners feel supported and welcomed.

This person will manage the day-to-day needs of the office, including greeting visitors, receiving and distributing mail and packages, maintaining office supplies and common areas, coordinating vendors, and assisting employees with general office needs. The Office Manager will also serve as an onsite point of contact for Red Cedar’s third-party IT provider, helping coordinate basic technology needs, equipment setup, troubleshooting, and communication with the IT team. Advanced IT experience is not required, but the ideal candidate should be comfortable with technology and willing to learn.

More than anything, we are looking for someone who sees what needs to be done and takes care of it — the person who keeps the office organized, notices when supplies are running low, makes sure a new employee has what they need on their first day, and helps create a positive, professional workplace.

Essential Duties, Roles and Responsibilities

This position supports the daily operations of the Charlotte office and serves as a resource for employees, leadership, visitors, and outside vendors.

Front Office and Visitor Experience

• Serve as the first point of contact for visitors, candidates, vendors, and guests entering the office.

• Greet visitors in a friendly and professional manner and notify the appropriate employee of their arrival.

• Help maintain a welcoming, organized, and professional office environment.

• Answer or direct general office inquiries as needed.

• Assist with preparing conference rooms and common areas for meetings, interviews, and company events.

• Help ensure visitors and new employees know where to go and have what they need while onsite.

Mail, Packages and Office Administration

• Collect, sort, and distribute incoming mail and packages daily.

• Coordinate outgoing mail, shipments, courier services, and package pickups.

• Maintain office mailing and shipping supplies.

• Assist with scanning, copying, filing, document organization, and other general administrative needs.

• Maintain organized records related to office operations, vendors, equipment, and supplies.

• Assist leadership and other departments with miscellaneous administrative projects as needed.

Office Supplies and Workplace Organization

• Monitor and maintain office supply inventory and place orders before supplies run out.

• Maintain kitchen, breakroom, conference room, restroom, and general office supplies.

• Keep common areas organized, stocked, and presentable throughout the day.

• Coordinate coffee, beverages, snacks, and other routine office needs.

• Identify maintenance or facility issues and coordinate repairs with the appropriate vendor or property contact.

• Help ensure the office is prepared for employees and guests each day.

Vendor and Facility Coordination

• Serve as the primary onsite contact for routine office vendors and service providers.

• Coordinate cleaning services, deliveries, repairs, maintenance appointments, and other building-related needs.

• Maintain vendor contact information and assist with scheduling recurring services.

• Communicate facility issues promptly and follow through until resolved.

• Assist with office access, keys, parking passes, badges, and similar administrative items as needed.

Employee and New Hire Support

• Help prepare desks, workspaces, office supplies and equipment for new employees.

• Assist HR and department leaders with onsite onboarding logistics.

• Help ensure new employees feel welcomed and know where to find basic office resources.

• Support employee celebrations, birthdays, lunches, meetings, and company events as requested.

• Serve as a helpful resource for employees with everyday on site office-related questions and needs.

• Assist with collecting company property and coordinating workspace needs during employee offboarding.

IT Coordination and Technology Support

• Serve as an onsite liaison between employees and Red Cedar’s third party IT support provider.

• Help coordinate computer, monitor, phone, printer, and other equipment setup for new employees.

• Assist with basic troubleshooting such as connecting equipment, restarting devices, checking connections, or helping employees submit IT support requests.

• Coordinate with the third-party IT provider when issues require technical support.

• Help maintain an inventory of company computers, monitors, phones, accessories, and other technology equipment.

• Assist with organizing and distributing IT equipment to employees.

• Coordinate equipment returns during employee offboarding.

• No advanced IT expertise is required; comfort with computers, technology, and learning new systems is important.

Meetings and Company Events

• Assist with scheduling and preparing conference rooms for meetings.

• Coordinate food, beverages, supplies, and other logistics for office meetings or events.

• Help prepare the office for leadership meetings, interviews, employee events, and company gatherings.

• Assist with cleanup and resetting spaces following meetings or events.

• Support special projects and company initiatives as needed.

Other duties as assigned.

Required Skills & Qualifications

• 1+ years of experience in office administration, office management, administrative support, hospitality, customer service, or a similar role preferred.

• Strong organizational skills with the ability to manage multiple small priorities throughout the day.

• Friendly, approachable, and professional communication style.

• Strong attention to detail and follow through.

• Comfortable interacting with employees, executives, candidates, vendors, and visitors.

• Ability to identify what needs to be done and take initiative without requiring constant direction.

• Comfortable using computers and common office technology.

• Basic proficiency with Microsoft Outlook, Word, Excel, Teams, and similar business applications preferred.

• Comfortable learning new software and assisting with basic technology or equipment needs.

• Ability to handle confidential or sensitive information appropriately.

• Reliable, punctual, and comfortable working in an onsite office environment.

Compensation

• $50,000-$70,000

Schedule

• Monday through Friday, standard daytime business hours.

• This is an onsite position due to the hands-on nature of office operations and employee support.

Work Environment

Office-based environment with regular interaction with employees, visitors, vendors, delivery personnel, and outside service providers. Standard office equipment including computers, phones, printers, shipping equipment, and document management systems will be used regularly.
