ID+A is a Specialty Contractor whose business is the planning, design, and creation of our customer's corporate, health and learning spaces. We possess in-house expertise in design, prefab construction, furniture, fixtures & equipment and technical services. Our customers come to us because they want one point of contact for the design and execution of their interior projects throughout Kentucky, Southern Indiana, and Tennessee.

The First Impressions Coordinator is the face and voice of ID+A – the first person our guests meet when they walk through our doors and a steward of how our brand shows up in every market. This role blends front-of-house hospitality and office operations with hands-on marketing support. The ideal candidate has a personable disposition, excellent organizational skills, and a natural ability to roll with the punches. You’ll keep our office running smoothly and looking its best, nurture the pleasant work environment our people love, and bring that same care to our events, social media, and client experience.

You will work closely with Leadership, the Sales & Design teams, the Design Liaison, and the Marketing Coordinator to execute ID+A’s brand and marketing strategy, coordinate events and sponsorships, and build brand awareness across all of our markets: Louisville, Lexington, Evansville, and Nashville.

Education, Experience and Attributes:

• 1-3 years of experience in hospitality, concierge services, office management, marketing, or a related discipline

• Bachelor’s degree in Communications, Marketing, Business, Hospitality, or related discipline; degrees in other specialties are acceptable if relevance can be demonstrated

• Proficient with Microsoft Word, Excel, PowerPoint, Outlook + Teams

• Knowledgeable of Acrobat; Canva, InDesign, or Photoshop experience a plus

• Warm, personable, and professional presence with excellent verbal and written communication skills

• Excellent attention to detail, with an eye for brand consistency and office presentation

• Flexible and adaptable; able to prioritize effectively while supporting multiple deadlines

• Strong planning, organizational, and problem-solving skills with excellent follow-up

• Ability to work with minimal supervision and coordinate with staff in off-site locations

Major Functions of the Position:

• Own the guest experience and ensure a personal, friendly first impression for anyone coming into the office, maintaining complete accessibility in both availability and warmth of character

• Ensure peak organizational operations for the office and provide preventative measures by identifying issues and alerting either the Leadership team member responsible or owning the issue

• Implement established Leadership policies and procedures for meetings, office standards, etc.

• Support the Brand/Marketing Plan and maintain standards for all digital/analog tools

• Digital Marketing + Content Support (social media, website updates, case studies)

• Events, Sponsorships + Space Rental Coordination

• Coordinate internal and external resources, and cultivate relationships with vendors and manufacturer partners as directed by Leadership agendas

Essential Duties:

• Serve as the main point of contact in the reception area, welcoming guests, responding to requests and questions, and keeping management informed with routine and requested reporting

• Keep the office guest-ready and efficient by maintaining common areas and meeting spaces, handling correspondence, managing samples/shipments, and overseeing supplies, equipment, and vendors

• Provide direct administrative support, including scheduling appointments, meetings, and events, booking travel, maintaining the filing system, mailing and shipping packages, coordinating food delivery, and updating the contact database and employee list

• Support the office’s space/infrastructure planning (moves, adds, and changes to workstations) and provide answers, resources, and solutions as requested

• Manage ID+A’s rentals of the board rooms in our headquarters and work in collaboration with The Café for rentals of The Assembly initiated by ID+A and our affiliates

• Support and coordinate special events, sponsorships, charitable initiatives, client experience touchpoints, and amenity items

• Maintain a strong social media presence, assist with website updates and case studies, and keep the marketing asset library (logos, photography, templates, collateral) organized with version control

• Assist with proposals, statements of qualifications, and presentations as needed

• Support co-branding initiatives with key manufacturer partners and maintain partner requirements for brand use

• Lead internal communications and team-building support (announcements, culture initiatives, office visuals)

• Administrative duties as necessary to support department priorities and deadlines
