Opening in November at our newly renovated facility at 4740 A Street, the Short-Term Residential program represents an exciting new chapter for Houses of Hope. Houses of Hope is seeking an Admissions Coordinator to join our team. The Admissions Coordinator welcomes and assists individuals arriving for outpatient appointments, residential services, and other agency business. The Admissions Coordinator is also responsible for managing the admission process for the Short-Term Residential program.

Duties and Responsibilities

• Serve as the primary point of contact for individuals in service, visitors, vendors, referral sources, and others entering the building.

• Greet and assist individuals arriving for outpatient appointments, residential services, and other agency business and connect them with the appropriate program or staff member.

• Coordinate check-in activities, including verifying addresses and collecting applicable co-payments.

• Notify appropriate staff when individuals in service, visitors, vendors, or other guests arrive.

• Ensure visitors and vendors follow applicable sign-in and building procedures.

• Answer the main telephone line, respond to general inquiries, and route calls to appropriate staff.

• Receive mail, packages, and deliveries and route them to appropriate personnel.

• Foster and maintain a safe, welcoming, professional, and trauma-informed environment for all individuals entering or contacting the program.

• Manage and maintain the residential pre-waiting list and waiting list in coordination with the Admissions Supervisor.

• Maintain weekly communication with referral sources and individuals who are being referred to or are currently on the waiting list regarding referral status, continued interest, and availability.

• Complete weekly reports for Region 5 and Region 2 regarding program waiting lists and available capacity.

• Prepare referrals for the screening process by reviewing evaluations, referral documentation, and other relevant information.

• Coordinate and schedule admissions to the residential program and complete required initial forms and documentation in the electronic health record as part of the intake process.

• Verify payor and billing information and submit service authorization requests to managed care organizations, CDS, and other applicable payor sources within required timeframes. Complete corrections, follow-up, and resubmissions as needed.

• Develop and maintain effective working relationships with referral sources and other community partners involved in the admission process.

• Maintain accurate and timely records of written and verbal communication related to individuals seeking admission to the residential program.

• Support program capacity goals by actively managing referrals and waiting lists, maintaining timely communication with prospective admissions and referral sources, and coordinating admissions as openings become available.

Qualifications

• Minimum age 21.

• Valid Nebraska driver’s license and proof of insurance; clean DMV record.

• Bachelor’s degree or Associate’s degree with 2 years’ experience in a human services field.

• Work experience with record management/correspondence in a clinical setting.

• Excellent customer service and communication skills.

• Ability to work independently, ensure deadlines, timeframes.

• Excellent organizational skills.

• CPR/First Aid Certified (will provide training).
