Position Overview
Provides administrative and operational support to the Regional Finance team in North America, ensuring the accurate,
timely, and compliant handling of financial documentation, logistics and general office coordination. The role contributes to the seamless execution of internal processes, stakeholder communication and regulatory recordkeeping.
The role functions in a regulated and collaborative environment where tasks are assigned by the Director of Business Operations & Finance. It requires meticulous organization, strong coordination, and the ability to manage various support functions, including but not limited to: Administrative logistics, financial recordkeeping and communications. The role may serve as a point of contact for internal and external administrative queries and supports audit readiness through accurate documentation.
Key Responsibilities
• Maintain regional finance documentation and filing systems, ensuring records are accurate, organized, audit-ready, and easily retrievable.
• Support the scheduling of meetings, reporting cycles, submission deadlines, and other financial or administrative activities.
• Process expense claims, review and reconcile monthly credit card statements, coordinate courier bookings, manage office supplies, and assist with ad hoc logistics.
• Liaise with internal departments and stakeholders to facilitate document flow, signature requests, and required approvals.
• Provide administrative support for financial projects and audits as requested by the Director of Business Operations & Finance.
• Manage reception duties, including answering and directing phone calls, greeting and signing in visitors, and responding to general inquiries.
• Receive, sort, and distribute incoming mail and correspondence to the appropriate departments.
• Maintain a clean, organized, and welcoming office environment for employees and visitors.
• Serve as the first point of contact for administrative inquiries related to finance, office operations, and logistics.
• Perform other duties and special projects as assigned by management.
Qualification, Training and Experience Requirements
• Associate’s degree in Accounting, Business Administration, Business, or a related field is preferred; equivalent relevant work experience may be considered in lieu of a degree. • Minimum 2–3 years of relevant experience in administrative or office coordination; preferably in a regulated or international business setting. • Familiarity with financial documentation, office systems and regulatory filing practices is advantageous.
Work Environment and Physical Requirements
• Office-based environment with extended periods of computer-based work. • Availability during regular office hours (8:00am-4:30pm) with occasional support required across time zones. • Must be able to coordinate digital and physical tasks related to documentation, meetings and logistics.
Compensation & Benefits
• $22.00-$26.00/ hour
