About this role

Chief Executive Group seeks an energetic Events Coordinator to join our team! The Events Coordinator will support the events team by executing logistical aspects and managing attendee relations related to our in-person and online events. This position reports to the VP of Events.

Key Responsibilities:

• Serve as the primary point of contact for all in-person and virtual event attendees across our CEO, CFO and Board communities

• Own the attendee communications timeline, sharing important details related to their participation, from registration confirmation to post-event follow-up

• Create attendee communications emails, including using various email platforms to maximize deliverability rates and support an exceptional attendee experience

• Manage the backend of our registration e-commerce platform, including creating codes, auto-confirmations, and troubleshooting attendee-facing payment issues

• Manage day-to-day attendee data (e.g. registrations, updates, and lists) with a high bar for accuracy

• Assist with onsite logistics for key events (including travel to approximately 8 to 10 per year)

• Represent our company as the first contact attendees see onsite, helping to deliver a VIP experience

• Manage shipping and inventory of all event materials and supplies

• Support buildout and maintenance of custom event app and/or virtual platform for all events

• Oversee CPE credit administration: applications, attendee tracking, and certificate creation/distribution

• Manage the technical production of all webinars — including Zoom (or other platform) setup, run-of-show execution, and troubleshooting live issues in real time

• Various coordination and administrative tasks to support Events Team as needed

Qualifications:

• Bachelor’s degree or equivalent experience

• 2-3 years of experience in event planning or related marketing/communications field

• Proven project management, organizational skills, and attention to detail

• Fast learner with an entrepreneurial spirit that works well under pressure

• Ability to prioritize and manage multiple responsibilities with shifting priorities and timelines

• Excellent written and verbal communication skills

• Passion for providing an exceptional customer experience

• Ability to work both independently and in a team-oriented, collaborative environment

• Proficiency in Microsoft Office Suite

• Adept at learning new technology platforms

• Ability to travel to key events, approximately once every 6 to 8 weeks in the spring and once every 2 to 4 weeks in the fall
