Job summary

Upton Surgery are looking for an organised, friendly and dynamic Dispensary Manager / Team Lead to join our Dispensary team. This is an ideal position for a Manager / Team Lead, looking to start their career in Primary Care.

Main duties of the job

As a Dispensary Manager / Team Lead, your role will be to manage all aspects of the dispensary; liaising with the GP partners, Practice Manager & Pharmacy Teams to effectively manage stock levels, ensuring adequate levels are held and minimising wastage and expenditure. Suitable candidates will need to be a team player and ideally have experience of team management.

Working in modern premises with designated treatment rooms, minor ops and on site dispensary, complete with 2 robotic systems.

Main duties of the job:

The successful applicant will be expected to coordinate the team and support the delivery of an excellent service to our dispensing patients, by:

Ensuring the service meets the DSQS standards; Completing the monthly, quarterly and annual dispensary returns, running searches on the practice clinical system and completing the necessary audits; Developing, reviewing and improving standard operating procedures, and policies; Managing the day-to-day running of a large team, including rotas and performance. Maintaining stocks, ensuring profitability and business sustainability, regularly reviewing drug supplier deals and offers and change procurement where needed to ensure value for money.

Upton Surgery is a friendly, forward thinking General Practice with on site NHS Community staff and Social Care staff. We have a holistic, integrated care approach for our 12,300 patients. We are a training practice with 6 GP partners, 4 salaried doctors, 3 ANPs and 1 clinical pharmacist, 2 Pharmacy technicians and a dispensary on site. Located just 10 minutes from junction 1 of the M50, 15 minutes from Worcester and Malvern. 10 minutes from Tewkesbury and 30 minutes from Cheltenham.

Main Duties and Responsibilities

The successful candidate will coordinate the dispensary team and support the delivery of an excellent service to dispensing patients by:

Ensuring the dispensary operates in full compliance with Dispensing Services Quality Scheme (DSQS) standards

Completing all required monthly, quarterly, and annual dispensary returns, including running clinical system searches and conducting audits

Developing, reviewing, and continuously improving Standard Operating Procedures (SOPs) and policies

Managing the day-to-day operations of a large team, including staff rotas, supervision, and performance management

Overseeing stock control and procurement processes to maintain optimal inventory levels

Monitoring profitability and supporting business sustainability by reviewing supplier agreements, identifying cost-saving opportunities, and sourcing best-value purchasing optionFull Job Description to be provided upon request.

Person Specification

Qualifications Essential

-Previous experience working in a dispensary, pharmacy, or healthcare setting. -Experience in team leadership or management -Strong understanding of dispensing processes and regulatory/compliance standards (e.g. DSQS) -Excellent organisational skills with the ability to manage workload and meet deadlines -Experience in stock control, procurement, and cost management -Ability to carry out audits and complete routine returns accurately -Strong communication and interpersonal skills -Competent IT skills, including use of clinical systems and Microsoft Office

Desirable

-Experience working in a GP dispensing practice -Knowledge of NHS systems and primary care regulations -Familiarity with dispensary robotics or automated dispensing systems -Relevant qualification in pharmacy services, dispensing, or management -Experience in developing and implementing Standard Operating Procedures (SOPs) -Previous involvement in audits, quality improvement, or service development -Understanding of medicines optimisation and cost-effective prescribing Experience in training, mentoring, or developing staff
