*Position Summary:*
We are seeking a highly organized and proactive *Office Administrator* to manage the daily administrative functions of our busy construction office in Mississauga. As the *sole administrative support*, you will play a key role in maintaining smooth office operations, supporting project managers, and handling basic bookkeeping and payroll duties. This role requires a self-starter with excellent multitasking abilities and strong attention to detail, who thrives in a *fast-paced, dynamic* environment.
*Key Responsibilities:*
*Administrative Duties:*
* Serve as the primary point of contact for internal staff, vendors, and clients. * Manage all incoming calls, emails, and postal mail; direct inquiries appropriately. * Maintain office supplies, equipment, and vendor relationships. * Coordinate meetings, appointments, and schedules for management and field staff. * Assist in preparing and managing job files, permits, and project documentation. * Maintain health & safety and training documentation and coordinate training as needed. * Ensure the office is organized, clean, and operating efficiently.
*Bookkeeping (Light):*
* Process and record accounts payable and receivable transactions. * Match purchase orders, packing slips, and invoices. * Perform bank reconciliations and monthly credit card reconciliations. * Assist in preparing reports for management or external accountants. * Maintain accurate records in accounting software (QuickBooks).
*Payroll (Light):*
* Collect and process bi-weekly employee timesheets. * Prepare payroll summaries for external payroll providers processing. * Track vacation, sick days, and hours for hourly and salaried staff. * Assist with WSIB reporting as needed.
*Qualifications:*
* Minimum *3 years of experience* in office administration, ideally in the *construction or trades sector*. * Working knowledge of *bookkeeping principles* and *payroll processing*. * Proficiency in Microsoft Office Suite (Word, Excel, Outlook). * Experience with accounting software (QuickBooks). * Excellent verbal and written communication skills. * Strong organizational and time-management skills. * Ability to work independently with minimal supervision. * Knowledge of Ontario employment standards and WSIB regulations is an asset.
*Preferred Qualifications:*
* Post-secondary diploma or certificate in Business Administration, Accounting, or related field. * Familiarity with CRM software (Salesforce) is an asset. * Basic understanding of construction project billing.
*Work Conditions:*
* Full-time position: Monday to Friday. * Office-based in a fast-paced construction environment. * Occasional lifting of office supplies or job-related materials (up to 25 lbs). * Must be comfortable working independently and taking initiative.
