About this role

Field & Stream, is seeking a dynamic and detail-oriented Conference Service Manager to join our team.

This role is responsible for creating BEOs, detailing, and executing social, corporate, and F&B-driven events and onsite activations—ranging from celebrations, and corporate events to creative brand activations and local gatherings. The ideal candidate is both revenue-driven and execution-focused, ensuring that every event is thoughtfully planned, seamlessly delivered, and aligned with the hotel's unique style.

Pay Range: $65,000 - $70,000 annually + Incentive

What You Will Be Doing:

Event Planning and Coordination

• Serve as the primary client contact from contract signature through event completion.

• Coordinate menus, pricing, service details, room setups, audiovisual needs, vendors, signage, timelines, billing, and payment.

• Prepare accurate BEOs, group resumes, diagrams, event timelines, and internal planning materials.

• Lead event-detail and pre-conference meetings.

• Partner with the Executive Chef, restaurant team, and hotel departments to create successful, operationally sound events.

• Maintain timely client communication and process amenity and special requests.

• Keep event records, forecasts, budgets, and client preferences current in STS.

On-Site Event Execution

• Conduct final walkthroughs and lead pre-event team meetings.

• Welcome clients and serve as their primary on-site contact.

• Monitor room setups, service timing, food presentation, vendor activity, and the overall guest experience.

• Resolve event-day challenges calmly, promptly, and professionally.

Billing and Administration

• Manage deposits, billing instructions, master accounts, banquet checks, concessions, and final invoices.

• Review all event charges and supporting documentation for accuracy.

• Complete banquet and catering forecasts and assist with pace reports, revenue tracking, and event summaries.

• Conduct post-event follow-up, gather feedback, and document relevant details for future business.

Hotel Activations

• Coordinate signature experiences such as backyard events, fire-pit gatherings, s'mores activations, tastings, promotional events, and community partnerships.

• Manage vendor access, deliveries, setup, event execution, and breakdown.

• Coordinate with Front Desk, Housekeeping, Engineering, Food & Beverage, and other departments.

• Develop checklists and procedures for recurring activations and guest experiences.

Local Catering Sales

• Generate catering business through proactive outreach, community networking, and local partnerships.

• Respond to catering inquiries and manage opportunities from proposal through signed contract.

• Conduct site visits, tastings, and client meetings.

• Maintain accurate sales activity and booking records to support forecasting.

Support additional sales, event, and hotel initiatives as assigned by the Director of Sales & Marketing.

Where You've Been:

You have at least a high school diploma and 2+ years of experience working in both branded and independent hotel sales. Additionally, you have at least 1 years' experience working in food & beverage. Whether you're interacting with clients or your fellow associates, you'll be working directly with people all the time. We're looking for some who can communicate clearly in a positive and professional manner, can perform under pressure, and can assist clients in all their requests (even the more challenging ones)! • Ability to use the tools of our trade: computers, Hospitality CRM, databases, property management systems, and industry business intelligence tools.
