The Workforce Planning Coordinator is responsible for administrative, logistical, and operational support for Production, Maintenance, and Facilities leaders. This role conducts a broad variety of administrative tasks to ensure appropriate staffing levels are maintained for production. In addition, this position serves as a liaison between Human Resources (HR), Training, and Production, ensuring training deliverables are completed on time, documented accurately, and maintained in compliance with organizational, regulatory, and grant requirements. The position provides training programs, on-the-job training (OJT), employee development activities, and production workforce readiness. This includes assisting with attendance administration and labor optimization, while controlling labor costs, reducing overtime, and ensuring compliance with company policies and state/federal regulations.
Estimated starting annual base salary is $39.88-$59.82 per hour less applicable withholdings and deductions, paid on a bi-weekly basis. Please note that the actual compensation offered may vary based on relevant factors as determined by the Company, which may include, but is not limited to, location, experience, qualifications, education, skillset, and market conditions. The target base compensation for this role is in the low to middle of the range, with the top of the range reserved for only exceptional circumstances. In addition, this role is eligible for a discretionary, variable annual incentive, paid based on Company performance factors. Essential Duties and Responsibilities
• Partner with Production, Maintenance, and Facility leadership and planning teams to develop workforce plans aligned with production schedules.
• Proactively monitor weekly staffing levels for Operations and recommend staffing adjustments to minimize overtime and labor inefficiencies. Coordinate labor allocation across shifts and departments to ensure adequate operational coverage.
• Analyze labor utilization, absenteeism, overtime, and staffing trends and provide recommendations for improvement.
• Partner with Human Resources to coordinate temporary labor based on business needs.
• Track temp labor utilization and communicate staffing requirements proactively to Human Resources.
• Partner with supervisors and managers to monitor attendance tracking and attendance point accumulation.
• Partner with Human Resources in preparing attendance related documentation for supervisors and managers in a timely, consistent, and compliant manner.
• Maintain workforce-related compliance records and documentation.
• Coordinate and administer the deployment of grant-funded training activities and deliverables.
• Serve as primary liaison between training and production supervisors.
• Maintain training schedule and coordinate logistics for in-person and virtual training.
• Ensure training records, attendance logs, and qualification documentation are complete and accurate.
• Coordinate logistics for training sessions, workshops, meetings, and special events.
• Monitor training completion and follow up on overdue assignments.
• Perform general administrative and coordination duties as assigned.
Required Qualifications
Education & Experience:
• Associate's degree in business, operations, human resources or related field or equivalent experience.
• 5 years' experience in manufacturing, workforce planning, scheduling, HR administration, or related roles.
Knowledge, Skills, & Abilities (KSAs):
• Bilingual in English/Spanish.
• Strong understanding of workforce planning, labor scheduling, and staffing optimization.
• Knowledge of training administration, recordkeeping, and compliance requirements.
• Knowledge of database management, reporting systems, and learning management systems (LMS).
• Proficiency in Microsoft Office applications (Excel, Word, Outlook, and PowerPoint).
• Ability to manage confidential employee information.
• Strong attention to detail, data accuracy, organizational, and time-management skills. Ability to coordinate multiple projects, schedules, and priorities simultaneously.
• Ability to work independently while managing competing deadlines.
• Ability to build effective working relationships across departments and organizational levels.
• Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
• Must have the ability to communicate effectively, verbally and in writing, with internal staff and management. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of an organization.
• Must be able to demonstrate practical problem solving and trouble shooting skills. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Preferred Qualifications
• Bachelor's degree in business, operations, human resources or related field.
• Food and beverage manufacturing industry experience.
