Position: Coordinator, Event Operations Department: Arena Operations Reports to: Sr. Manager, Fan Experience & Event Operations
JOB SUMMARY:
The Coordinator, Event Operations supports the planning and execution of arena events and fan experience initiatives. This role works cross-functionally with Arena Operations departments, internal stakeholders and external partners to deliver seamless events and exceptional experiences for fans, partners and community groups.
ESSENTIAL DUTIES AND RESPONSIBILITIES: (other duties may be assigned as required)
Event Operations & Event Services
• Support the planning and execution of internal and external events, including partner, Season Ticket Member and community events.
• Own Arena Tours end-to-end, including bookings, staffing, logistics and customer service delivery.
• Develop and maintain event planning tools, including production schedules, budget tracking, timelines and event specifications.
• Develop and maintain event documentation, including event details, work orders and other operational requirements.
• Coordinate event resources and liaise with Security, Guest Services and other departments on staffing and event-day deployments.
• Support event briefings and event-day operations to ensure a seamless fan and guest experience.
• Work arena events as required, including Canucks hockey games, Vancouver Warriors lacrosse games and concerts, providing event-time operational support to ensure a seamless fan experience.
Fan Experience
• Provide first-line response to fan inquiries across phone, text and email within 24 hours, including complaint handling and fan recovery.
• Support the fan experience during live events, including smooth event operations, fan recovery resourcing and support to event staff.
• Process and action routine 24/7 post-event reporting summaries and work orders.
• Handle the day-to-day execution of Fan Experience asset purchasing and Guest Services stocking.
EXPERIENCE AND QUALIFICATIONS:
• Minimum 2 years of event, hospitality or customer service experience.
• Post-secondary degree or diploma in a related field preferred.
• Strong organizational and coordination skills with exceptional attention to detail.
• Proactive, self-motivated and able to anticipate needs and work independently.
• Excellent communication, interpersonal, problem-solving and customer service skills.
• Ability to manage multiple priorities and work effectively in a fast-paced, event-driven environment.
• Strong writing and presentation skills.
• Proficiency with Microsoft Office, including Word, Outlook, PowerPoint and Excel; Adobe Acrobat.
• Ability to work flexible hours, including evenings, weekends and event days as required.
