This position is commonly titled Office Coordinator or Employee Experience Coordinator at other companies. At TalkingParents, we call it Morale Coordinator to reflect the culture and people-focused nature of the role.

At TalkingParents, the person at our front desk sets the tone for everyone who walks through the door. We are looking for a Morale Coordinator who enjoys people and takes pride in keeping things running smoothly. In this role, you will be the welcoming first point of contact for our visitors and a steady presence behind the scenes, helping create a positive and connected work environment for our team.
What You'll Do:
• Welcome guests and interviewees with enthusiasm and professionalism, whether it's in person or over the phone.
• Boost team spirit by helping with onboarding, organizing events, and maintaining employee recognition programs.
• Keep things running smoothly by managing administrative tasks like office supplies, coordinating meetings, monitoring facilities requests, and ensuring common areas are tidy and well-stocked.
• Plan fun events that foster connection and engagement, adding your own "Wizard touch" to each one!
What We're Looking For:
• A positive, upbeat attitude with a flair for creating a fun and friendly atmosphere.
• Strong communication skills to handle phone calls, emails, and face-to-face interactions.
• Reliable and self-starting, with a proactive, problem-solving mindset. You're someone who takes initiative and gets things done without being told.
• Highly detail-oriented, with the ability to manage multiple tasks without breaking a sweat.
• Comfortable with administrative tasks that keep the office running.
• Must be able to lift 50 pounds and climb stairs. Helping out isn't just a desk job here!
• Familiarity with Microsoft Office tools (Outlook, Word, OneNote).
• A valid driver's license with reliable transportation and insurance.
Your Responsibilities:
• Manage the front desk: greet guests, welcome interviewees, answer calls, and handle deliveries.
• Assist with onboarding new hires, from maintaining onboarding checklists and preparing welcome kits to organizing welcome lunches.
• Keep the office running: stock the café, manage supply inventories, monitor and coordinate facilities requests, and ensure the cleanliness of common areas.
• Order lunches for departments across the office as needed.
• Help plan company events, from big meetings to fun social gatherings, managing everything from vendor relationships to event budgets.
Working Hours:
• 8:00 AM to 5:00 PM, Monday through Friday (with occasional overtime and weekend work for special projects and events).
