Patient Services Coordinator - Scheduler
Partners In Home Care (PIHC), Western Montana's leading non-profit home health provider since 1987, is seeking an organized, detail-oriented Patient Services Coordinator - Scheduler to join our clinical support team. This role provides centralized scheduling for patient-related activities, working closely with clinical staff and Clinical Managers to ensure accurate, efficient, and compliant scheduling across the agency.

Department: Hospice Employment Type: Full-Time Schedule: Monday–Friday, standard business hours. Location: Missoula, MT (On-site)
Essential Duties and Responsibilities
• Coordinate and maintain weekly and monthly scheduling for all clinical staff to ensure full FTE coverage across assigned territories
• Schedule patient visits (SOCs, ROCs, recertification's, and subsequent visits) for nursing and therapy staff in accordance with regulatory timeframes and Clinical Manager direction
• Assign territories, case managers, and care teams to new admissions; update charts as needed
• Manage daily scheduling workflow, including rescheduled, reassigned, or declined visits
• Track patient MD and clinic appointments (including wound care) and adjust clinical schedules accordingly
• Coordinate with the Solutions/IV team to confirm and communicate patient scheduling needs to field staff
• Provide scheduling-related customer service and support to field clinicians and patients by phone and digital platforms
• Run and act on daily/weekly operational reports
• Support Clinical Managers with payer authorization issues affecting scheduling
• Partner with the Triage Manager to facilitate timely admissions and new orders
• Follow up on discrepancies between orders, visits, and documentation; complete visit exception tasks
• Organize and help facilitate scheduling and team meetings
• Assign clinical visits using cost-efficient, GPS-informed routing to reduce mileage
• Provide backup coverage for other schedulers as needed
• Maintain accurate scheduling records and support QAPI/compliance activities
Qualifications
• 2+ years of administrative assistant-level experience
• High school diploma preferred
• Prior healthcare experience preferred
• General proficiency with computer software and Microsoft Office required
