Job summary

We are looking for a friendly, caring and organised Receptionist to join our welcoming GP practice team. As the first point of contact for our patients, you will play a vital role in providing a professional, compassionate and efficient service, helping patients to access the right care and support.

Main duties of the job

The successful candidate will provide a friendly, professional and efficient reception service to patients, acting as the first point of contact for the practice. Main duties will include answering telephone calls and enquiries, booking and managing appointments, registering patients, processing prescriptions and requests, updating patient records, and signposting patients to appropriate services.

You will also support the wider practice team with general administrative duties, ensure information is handled confidentially and accurately, and help maintain a high standard of patient care and service at all times. The role requires excellent communication and organisational skills, a calm approach in a busy environment, and the ability to work effectively as part of a team.

Job description Job responsibilities

Welcome and assist patients and visitors in a professional, courteous and compassionate manner.Answer telephone calls promptly and deal with enquiries appropriately, maintaining a calm and helpful approach at all times.Book, amend and cancel appointments in accordance with practice procedures.Signpost patients to appropriate healthcare professionals, services and organisations where required.Process prescription requests and other patient enquiries accurately and efficiently.Register new patients and maintain accurate and up-to-date patient information.Ensure patient records and information are handled accurately and confidentially, in line with practice policies and information governance requirements.Receive and process administrative requests, messages and correspondence.Liaise effectively with GPs, nurses, healthcare professionals and the wider practice team.Support the practice with general administrative duties, including filing, scanning, photocopying and data entry.Assist with the smooth running of reception and waiting areas, ensuring patients receive a positive experience.Deal appropriately with sensitive or difficult situations, escalating concerns to the appropriate member of staff when necessary.Maintain a high level of confidentiality and professionalism at all times.Follow practice policies, procedures and protocols, including those relating to safeguarding, infection prevention and health and safety.Attend staff meetings, training and development sessions as required.Undertake any other reasonable duties appropriate to the role and level of responsibility.

Person Specification

Experience Essential

Previous experience in a reception, administrative, customer service or healthcare setting. Good standard of written and spoken English. Basic computer skills and confidence using IT systems. Ability to work effectively as part of a team in a busy environment. Knowledge and Skills Excellent communication and interpersonal skills. Professional, friendly and approachable manner. Good organisational skills with the ability to prioritise and manage workload. Accurate and attentive to detail. Ability to deal sensitively and appropriately with confidential and personal information. Ability to remain calm and professional when dealing with challenging or difficult situations. Good telephone manner and ability to communicate effectively with patients from a wide range of backgrounds.

Desirable

Previous experience working within a GP practice, NHS or other healthcare environment. Experience using primary care clinical systems such as EMIS or SystmOne.
