Job summary
Cardiff and Vale University Health Board is seeking a Medical Staffing Co-ordinator Support / Administrator to join the Obstetrics & Gynaecology Directorate and play a key role in supporting our medical workforce.
This is an exciting opportunity to work within a busy and dynamic directorate, providing administrative and operational support to ensure safe and effective medical staffing across maternity and gynaecology services.
The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.
Main duties of the job
The post holder will support the co-ordination of medical staffing activities for consultants, specialty doctors, trainees and locum doctors across the Directorate. Working closely with clinical leaders, medical staffing colleagues and operational managers, the successful candidate will help ensure that rotas are maintained, vacancies are filled and staffing information is accurate and up to date.
The role requires excellent organisational skills, the ability to manage competing priorities and a professional approach when dealing with a wide range of staff groups.

Provide administrative support for medical staffing and rota management activities.Assist with the booking and coordination of locum medical coverMaintain accurate staffing records, rotas and workforce databases.Support recruitment and onboarding processes for medical staff.Monitor annual leave, study leave and other absences, ensuring records are updated.Liaise with consultants, junior doctors, medical staffing teams and external agencies.Support compliance processes, including mandatory training and employment documentation.Respond to staffing queries in a timely and professional manner.

Qualifications Essential
Good standard of general education NVQ Level 3 and additional specialist knowledge.
Experience Essential
Knowledge of a wide range of administrative procedures with a good working knowledge of Microsoft Office. Experience of working in an office environment Good understanding of need for accurate data capture and reporting. Diary management Taking and transcribing formal minutes Experience of liaising with a wide range of professionals.
Skills Essential
Excellent organisational skills. Able to function efficiently under pressure and meet deadlines. Excellent written and oral communication skills. Ability to prioritise workload
