The post holder is responsible for providing effective administrative support to the HR Business Partner, acting as the first point of contact for employees, clinicians and other external organisations for enquiries relating to employment issues and training compliance
Main duties of the job
The post holder is responsible for providing effective administrative support to the HR Business Partner, acting as the first point of contact for employees, clinicians and other external organisations for enquiries relating to employment issues and training compliance.
Responsibilities:
1. Carry out administrative processes as instructed
2. Assist with recruitment and pre-employment checks for new employees
3. Maintain the staff training database
4. Assist with maintaining staffing records in accordance with organisational policies and procedures
5. Act as the first point of contact on behalf of the HR Business Partner when required
6. Handle other telephone and general enquiries
7. Taking messages
8. Processing all forms of communication relating to areas of work
9. All forms of data entry and record keeping relating to areas of work
10. Follow and adhere to Health and Safety procedures
11. Ensuring work areas are tidy
12. Any other delegated duties considered appropriate for the post
Communication
1. Communicate effectively to deliver excellent customer service to colleagues, practices and external partners
2. Communicate effectively to handle delicate matters with discretion and tact while maintaining confidentiality
3. Promote effective teamwork with all staff
4. Provide appropriate communication to identify problems and solutions promptly
Other:
1. An understanding, acceptance and adherence to the need for strict confidentiality

South Doc Services (SDS) is a non-profit making GP co-operative based in South Birmingham. We have been successful in providing primary, community and secondary care based services since 1996.
We have a wealth of experience in working across the health economy. We have built a solid relationship with Urgent Care providers. They include NHS 111, WMAS, BCHC and secondary care.

Person Specification
Qualifications Essential
GCSE English or equivalent Grade C or above.
Desirable
RSA II typing/word processing or equivalent. HR/Training Qualification
Experience Essential
Previous experience of working in an office environment. Previous experience in a HR/training role.
Desirable
Previous experience of working within the NHS or a similar organisation.
Knowledge Essential
Good standard of communication both orally and in writing. A specific understanding of the confidential nature of the work in hand. Conversant with Microsoft Office. Understanding of confidentiality and Data Protection Act.
Desirable
Knowledge of Employment Law. Knowledge of CQC regulations.
Personal Qualities Essential
A willingness to work in a flexible and co-operative manner with colleagues. Ability to handle delicate matters in a discrete and tactful manner. Ability to work as a team or on own initiative. Reliable. Good time keeper. Friendly and approachable. Willingness to undertake a DBS check if needed. Willingness to undertake training. Able to cope under pressure.

Proficient in reading and writing English. Able to speak confidently on telephone and understand fluent English to receive and issue instructions in English and without the risk of misunderstanding. Ability to provide excellent customer service. Good interpersonal skills. Good telephone manner.
