The Program Management Specialist supports the successful execution of custom-engineered pump and compressor projects by managing administrative processes throughout the project lifecycle. Working closely with the Project Manager, this role coordinates project activities from order entry through project closeout and collaborates with cross-functional teams to ensure schedules, documentation, and customer requirements are met.

This position is ideal for candidates seeking hands-on project management experience with a technical or business background.
Key Responsibilities
• Provide administrative and project coordination support to the Project Manager. • Create, maintain, and update project schedules. • Prepare and distribute monthly customer progress reports. • Coordinate project activities and timelines with internal stakeholders. • Monitor project milestones and follow up with team members to ensure deadlines are met. • Resolve scheduling and project-related issues with manufacturing, purchasing, planning, logistics, sales, and other departments. • Communicate project status, action items, and deadlines with customers and internal teams. • Draft project communications and correspondence. • Serve as backup support for the Project Manager as needed. • Prepare and submit project documentation to customers. • Review, distribute, and track customer redlines and revisions. • Generate weekly project status reports and present updates to management. • Assist with monthly budget tracking and reporting for Project Management and Finance. • Perform additional project-related duties as assigned.
Must Have:
• 2+ years of experience in project coordination, administrative support, project administration, or a related role within a manufacturing, industrial, or engineering environment preferred. • 2+ years of experience utilizing Microsoft Office Suite, including Excel, Word, Outlook, and Project, to manage schedules, reports, project documentation, and stakeholder communications. • 2+ years of experience preparing and delivering professional written and verbal communications to internal teams, customers, vendors, and cross-functional stakeholders. • 2+ years of experience managing multiple projects, competing priorities, deadlines, and administrative tasks in a fast-paced environment. • 2+ years of experience collaborating with cross-functional teams and stakeholders at all organizational levels to support project execution and achieve business objectives. • Associate degree required; Bachelor's degree preferred. • Ability to work independently while following direction and established processes. • Strong problem-solving and decision-making skills. • Excellent organizational and time-management abilities. • High attention to detail and accuracy. • Self-motivated with a proactive approach to project support. The annual base salary range for this position is $64,000 - $80,050. Please note that this salary information serves as a general guideline.
