CONTRACT: Fixed-term employment contract to provide maternity leave cover; start date as soon as possible.

About the Role

We are looking for an experienced professional to join us as a Payroll Team Lead, coordinating and overseeing payroll processes for approximately 5,000 employees in Poland. This is a temporary maternity leave cover position. The successful candidate will be responsible for ensuring the accurate, compliant, and timely delivery of payroll while supporting a team of experienced Payroll Specialists. The role requires an excellent understanding of Polish payroll principles and legislation. The successful candidate should also be able to work independently, verify and correct payroll results, resolve complex issues, and support system implementations and process improvements.

Your Responsibilities

• Coordinate and oversee the accurate and timely delivery of payroll for approximately 5,000 employees. • Ensure that payroll processes comply with Polish labor law, tax regulations, social security requirements, internal standards, and applicable procedures. • Review payroll calculations, records, reports, payments, benefits, taxes, deductions, overtime, shift allowances, commissions, and bonuses. • Identify discrepancies and recurring errors, analyze their root causes, and implement corrective and preventive actions. • Resolve escalated and complex payroll matters, including issues related to organizational or system changes. • Lead a team of experienced Payroll Specialists and provide them with ongoing support. • Set clear objectives and priorities and monitor the delivery of operational results. • Monitor payroll process effectiveness, service quality, accuracy, productivity, and adherence to agreed deadlines. • Support payroll system implementations and migrations, as well as process changes. • Identify opportunities to improve, standardize, and automate payroll processes. • Build effective working relationships with HR and Finance teams, management, external vendors, and other specialist functions. • Ensure that internal payroll policies, procedures, and practices are understood and followed by the team and relevant stakeholders.

Essential Requirements

• More than five years of professional experience in Polish payroll. • Excellent knowledge of Polish payroll principles, labor law, tax regulations, and social security requirements. • Experience leading, developing, mentoring, or coordinating the work of Payroll Specialists. • Ability to verify payroll results, identify errors, correct discrepancies, and resolve complex payroll issues. • Ability to work independently and make sound decisions in a dynamic payroll environment. • Experience working with payroll systems or Human Resources Information Systems. • Strong analytical, organizational, and problem-solving skills. • Excellent communication and stakeholder management skills. • Very good written and spoken Polish and English. • A university degree in HR, finance, economics, management, or a related field, or equivalent relevant professional experience.

Nice to Have

• Experience working in a Shared Services Center, Global Business Services, or Business Process Outsourcing environment. • Experience with SAP Payroll or other HR systems. • Knowledge of the Xpertis system. • Experience supporting payroll system implementations, migrations, or transformation projects. • A professional certification in HR or payroll. • Experience in continuous improvement, process optimization, or payroll automation.
