About this role

Job summary

The post holder will manage the delivery of a high quality, safe and compassionate healthcare service to patients. They will have responsibility for ensuring that all administrative processes are efficient and effective and enable the team and the Trust to meet high standards of performance. The post holder will have specific responsibility for driving forward excellent standards of customer service taking action where levels of service delivery fall short of what is required or do not uphold Trust values. The post holder will line manage a team of administrators and will be responsible for organising workload and cover, recruiting and inducting new staff members, identifying training and support required by individuals and managing performance.

Main duties of the job

Roles and responsibilities

Maintaining Cardiology Medical rota in accurate and timely manner to ensure all planned (annual, study leave) and sickness absences are reflected in real time.

Effectively coordinating Cardiology Medical rota ensuring reallocation of staff to cover shortfalls and any gaps are escalated in a timely manner.

Ensuring timely distribution of most recent rota to all stakeholders

Facilitating and attending regular meetings with clinical rota managers

Continuously liaising with Assistant service manager to stay up to date with upcoming changes in establishments, identifying the impact on the rota and assisting in taking mitigation steps

Administration office

Take overall responsibility for efficient running of the administrative function, maintaining effective office/ departmental systems and processes.

Work with other members of the wider team to ensure quality standards are adhered to.

Ensure that the team is aware of relevant Trust policies and procedures relating to HR processes and service delivery.

Develop new processes for the service with a view continuously improving the patient experience.

Take responsibility for patient/client care in terms of dealing with complex patient queries, particularly where patients are distressed and emotional.

Manage complex patient queries referred from other staff to an appropriate resolution.

Person Specification

Education/ qualifications Essential

Educated to NVQ Level 3 in business administration or similar experience

Desirable

Junior management qualification or equivalent experience

Knowledge and experience Essential

Working knowledge of a range of CERNER EPR and MS Office applications Experience of staff management, including objective setting and appraisal, performance review & people development

Desirable

Understanding of clinical rotas Experience in dealing sensitively with a range of people issues and complaints

Skills Essential

Ability to develop working processes for the team and create a positive working environment to ensure effective performance Ability to use initiative and act independently within remit

Desirable

Working knowledge of HR policies
