About this role

Job summary

To support on the delivery of a comprehensive, professional, and confidential support function in the provision of Facilities management services.

Facilities teams are responsible for providing safe, clean and supporting environment in which clinical services can operate effectively and covers services such as cleaning, catering, waste management, portering, linen and pest control.

The post holder will work alongside Facilities Managers and their team in delivering effective facilities management services. The job is 37.5 hours per week.

The post is based at Watford Hospital but there may occasionally be a requirement to travel to other sites at Hemel Hempstead and St Albans. Driving license is required.

Main duties of the job

To provide admin support to the management and auditing team, typing up and sending out audit reports and compiling monthly reports.

Manage the inbox for all facilities related queries responding where possible or allocating to the appropriate person.

Completing, extracting relevant datix data, ensuring the Datix's are reviewed and compiling relevant reports, and chasing up information.

Organising meetings and taking minutes where applicable.

Using the Micad system to manage pest control and other relevant jobsEnsuring that all catering reports are saved onto the shared.

Person Specification

Education and qualifications Essential

NVQ Level 2 Certificate/Diploma in Administration or equivalent experience Microsoft Office Packages

Knowledge Essential

Good communication skills with all levels of staff / customers/ suppliers Office Procedures Good written English Competent in the use of Microsoft Windows, Word, Excel, Outlook Principles of minute taking at meetings. Understanding policy and procedural documentation.

Desirable

Basic Knowledge of: oDatix oIntegra oNHS Supply Chain oAuditing Systems

Experience Essential

Proven Administrative Experience Experience in Customer Service Experience of working in a re-active and pressurised environment.

Desirable

NHS/Facilities knowledge Meeting administration.
